Chief of Staff



Job Summary:
The Chief of Staff will report to and serve as the principal aide and logistics manager for the President. As the lead member of the President’s Office Staff, the individual will handle a wide range of matters of institutional importance and be responsible for the central coordination of all functions and activities of the Office. The individual will assist in providing leadership and direction for strategic planning and change management initiatives, budget and financial planning, project management, policy, and program development for the University on behalf of the President. The individual may represent the President in selected internal and external interactions with faculty, staff, students, alumni, and various Boards.

The Chief of Staff will manage and advise the President on day-to-day operations ensuring efficiency and effectiveness and optimizing use of available resources. On behalf of the President, the Chief of Staff will monitor linkages with Vice Presidents and senior administrative officers to ensure responsiveness. The individual will maintain oversight for all ongoing projects supporting the President’s agenda to ensure that all are effectively moving according to planned objectives and established milestones and measurement criteria. At the direction of the President, the individual will have oversight of the Office of Communications, the Office of Title IX compliance, and coordinating oversight of Government and Community Relations.

Essential Responsibilities:
  • Provides principal management support to the President on an institutional level and assures the seamless functioning and management of the President’s office;
  • Serves as the President’s liaison with the Vice Presidents, Deans, and other senior administrators and functions within the Office of the President to ensure the cultivation of relationships and management of activities that is necessary to move the strategic direction forward;
  • Manages all personnel, budgetary, and financial planning of the Office of the President including oversight of all expense management, budgeting, project/special initiative funding, and compliance in conjunction with appropriate financial policies;
  • Interacts and liaises with business, industry, government, and community officials, and stakeholders in the representation and development of strategic programs and initiatives in alignment with institutional priorities and goals;
  • Provides guidance and oversight for the Office of the President’s strategic communications;
  • Works closely with the Division of Institutional Advancement in areas needing the attention/presence of the President and manages special events, meetings and presentations, and fundraising activities;
  • Serves as a generalist performing complex administrative duties including composing correspondence, independently, on a wide variety of matters, including material of a sensitive and confidential nature;
  • Supervises and assists the President’s office staff managing access to the President by screening office visitors and telephone callers identifying the individuals’ objectives and ensuring that the President is fully prepared for these meetings along with tactfully assisting in resolving student, personnel, and community concerns via appropriate University departments and staff;
  • Performs other related duties as required and deemed appropriate in support of the President to accomplish assigned responsibilities and functions of the office;
  • Reviews and approves travel, procurement, contracts, etc., as designated by the President;
  • Oversees the preparation and assembly of the Executive Cabinet Agenda, as well as the preparation and distribution of meeting notices and agendas;
  • Participates in key constituent meetings to ensure appropriate and responsive follow-up and accountability and facilitates resolution of matters requiring the President’s attention;
  • Assists in policy development, drafts and reviews legal documents, and responds to internal and external complaints;
  • Provides interpretation and translation of complex legal matters and institutional compliance concerns;
  • Reviews and advises the President on legal aspects of policies, programs, and projects, as requested.
Required Qualifications

Education:
  • Master’s degree or higher, required. Juris Doctorate, preferred.
Experience:
  • 5 to 10 years of experience working with senior level executives or higher education administrators, required.
Skills, Knowledge, and Abilities:
  • Experience providing legal advice and counsel reflecting sound judgment, substantive in-depth legal knowledge, and an understanding of complex business transactions;
  • Familiarity with higher education legal issues such as contracts, labor, and employment law, land use, and intellectual property;
  • Demonstrated strong leadership and managerial skills with analytical ability and experience with strategic planning processes;
  • Prior experience providing management support to a high-level executive that involved overseeing commitments and ensuring priorities were met and logistics were efficiently addressed in an intense, dynamic environment;
  • Demonstrated ability to plan, organize, coordinate, and direct multiple projects, and activities with varied deadlines; utilize sound judgment, be a strategic thinker and effective in moving strategic agendas;
  • Team building skills, with the ability to develop and supervise staff;
  • Ability to set priorities and work well with all levels of personnel;
  • Strong written and oral communication skills with the proven ability to problem solve and effectively operate with experience exercising effective judgement in a senior level administrative role within a dynamic environment;
  • Excellent interpersonal skills with ability to interact with diverse internal and external constituents;
  • Knowledge and understanding of University organization, goals and objectives, and policies and procedures;
  • Knowledge of University educational philosophy and top management administrative practices and procedures;
  • Ability to respond to common inquiries or complaints from students, faculty, staff, customers, regulatory agencies, or members of the government and business community;
  • Ability to effectively present information to top management, public groups, and/or boards;
  • Ability to develop and interpret data and manage resources;
  • Ability to think, reason, and make sound judgments on how responsibilities are completed in compliance with University standards and guidelines;
  • Be politically savvy and ensure the utmost discretion and confidentiality in all matters;
Preferred Qualifications

Conditions of Employment
  • Must be able to work long hours, including weekends and evenings, with impromptu scheduling. Must be able to travel, domestic and international.
