  • Experience working in a professional office environment providing administrative support and excellent customer service.
  • Ability to interact courteously and professionally with University faculty, staff, students, and all members of the University community, and external stakeholders.
  • Ability to communicate effectively by creating clear, concise, and grammatically correct work products (written communication).
  • Ability to communicate effectively, efficiently, and professionally in all in-person and telephone interactions.
  • Experience working in a high volume office while multi-tasking, prioritizing workload, and completing projects within deadlines.
  • Demonstrated ability to work independently and in collaboration with others.
  • Experience in Microsoft Office programs (Word, Excel, PowerPoint, Publisher, Outlook)
  • Demonstrated ability to learn all University systems and processes.
Preferred Qualifications
  • Experience working in a team oriented office
  • Experience monitoring/ordering office supplies.
  • Experience coordinating arrangements for meetings.
  • Experience in event planning.
  • Experience working with Chartwells Catertrax or other University catering or food service companies.
  • Experience maintaining paper and electronic filing systems.
  • Experience maintaining office calendar and calendars for other personnel.
Job Description

Responsible for providing administrative and general clerical support to management/staff within assigned division/department or unit.

Job Duties
  • Responsible for ensuring office is open and functioning by 8:00 a.m., usually closing office at 5:00 p.m., with lunch regularly scheduled from noon to 1:00 p.m.
  • Responsible for maintaining accurate paper and electronic filing systems.
  • Cover main office, greeting all visitors to the School of Social Work.
  • Assist and support faculty and staff in the School of Social Work with all work-related requests.
  • Assist all students enrolled in the School of Social Work or those visiting the office.
  • Answer telephone, screening and transferring calls, taking accurate messages, and frequently monitoring School voicemail.
  • Refer visitors and calls to other offices as appropriate.
  • Organize and prioritize work assignments for timely completion.
  • Demonstrate critical thinking skills and problem solving abilities.
  • Demonstrate ability to be detailed oriented and to effectively multitask in a high volume office.
  • Demonstrated ability to create, type, and proofread correspondence.
  • Demonstrated ability to utilize common office equipment such as computer, copier, printer, and laminating machine.
  • Retrieve office/University mail daily and distribute appropriately.
  • Purchase and distribute textbooks to faculty.
  • Assist in the end-of-semester course evaluations process as needed.
  • Assist with special projects by preparing and assembling event-related materials and room set-up as needed.
  • Attend University staff development trainings and workshops to stay up to date with university purchasing requirements, purchasing in TSUS Marketplace and Bobcatalog, Inter-Departmental Transfers (IDTs), etc.
  • Order supplies from on-campus and off-campus vendors, such as Copy Cats, Print Shop, Chartwells, etc.
  • Assist with maintaining office inventory and initiate approvals for purchase requests as needed.
  • Assist with coordination of Correspondence/Extension Studies courses.
  • All other duties as assigned.
Additional Information to Applicants

In addition to regular working hours of Monday-Friday from 8am-5pm, this position requires participation at some events and event-related activities during some evenings and weekends.
