Job Summary:

Under the general supervision of the EOP Director, the incumbent will serve as an EOP Administrative Support Coordinator and perform a variety of general office functions.

Major duties and responsibilities:
  • Assist students in interpreting university and department policies and procedures related to EOP, Summer Bridge and Renaissance Scholars components.
  • Assembles and prepares materials for distribution.
  • Receives, screens, and distributes mail/email to appropriate staff members.
  • Prepares duplicating requests Schedules advisement sessions and meetings as requested.
  • Supports coordinating the EOP New Student Orientations of incoming students.
  • Provides information to applicants regarding the status of their EOP application.
  • Requests guest parking passes and reserves needed spaces Summer Bridge.
  • Provides General Administrative Support to the EOP Summer Bridge Coordinator.
  • Coordinates tracking system between Summer Bridge applicants and EOP admissions.
  • Support in creating and organizing communications and any applicable documents (i.e. applications, required forms from campus partners) and mails to prospective students.
  • In collaboration with SB Coordinator conducts ongoing outreach to prospective applicants to meet summer bridge enrollment targets.
  • Gathers and records applicant information including appropriate placement scores.
  • In collaboration with Summer Bridge Coordinator and department Analyst orders, organizes, and distributes supplies for the Summer Bridge program.
  • Schedules and reserves rooms/spaces for Summer Bridge Program.
  • Administratively supports Summer Bridge Coordinator with dining/catering requests and maintains daily contact w/dining facilities to ensure quality of service.
  • Prepares students files for counselors
  • Gathers attendance rosters, classroom supplies and duplicating requests from Summer Bridge program instructors.
  • In collaboration with Summer Bridge Coordinator, coordinates logistics for summer student assistant schedules, as needed.
  • As needed, support in daily supervision of Summer Bridge students Foster Youth Program.
  • Provides General Administrative Support to the EOP Foster Youth Coordinator.
  • Contributes to the development and coordination of a tracking system between Foster Youth self-identified applicants, EOP admissions and any other appropriate key stakeholders.
  • Supports in creating communications/documents and mailing applications to prospective foster youth students.
  • Gathers and records Renaissance Scholars applicant information including appropriate placement scores.
  • Provides ad hoc admissions applicant information requested by EOP Director, Assistant Director or Renaissance Scholars Coordinator.
  • Schedules interviews for potential applicants to meet with EOP Renaissance Scholars Coordinator.
  • Reserves any needed meeting space for Renaissance Scholars efforts/events.
  • As requested, conducts outreach to students to assess program participation in upcoming events.
  • As needed, support in the supervision of foster youth students at RSP events.
  • Maintains and tracks applications received from prospective students and regularly updates the EOP database and PeopleSoft.
  • Prepares spreadsheets and database reports upon request.
  • Contributes to the development and processing of email correspondence, and other forms of communication sent to new EOP applicants.
  • Processes EOP applications and prepares admission files for counselors.
  • Other duties as assigned.

Minimum Qualifications: Required Education and Experience
  • High School diploma or its equivalent AND three (3) years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Required Qualifications
  • Experience to be fully functional in all technical aspects of work assignments.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math, such as calculating ratios and percentages, tracking financial data, and making simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to effectively handle a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

Preferred Qualifications
  • Experience working with programs that serve historically low-income, first-generation college students and knowledge of the Educational Opportunity Program is preferred.
  • A general knowledge of applicable university infrastructure, policies and procedures and experience and knowledge in working with databases, PeopleSoft, and Access systems is desired.



Compensation and Benefits:

Anticipated Hiring Range: $3,505 per month

Classification Salary Range: $3,505 - $5,508 per month

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Position Information:

Work status: Full-time, Non-Exempt, Probationary

Schedule: Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Drivers License Check

Possession of a valid Driver's License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.
