Job Summary

Reporting to and receiving work lead direction from the Associate Registrar for Undergraduate Graduation Evaluation, the undergraduate graduation evaluator provides student service professional services, while working independently to achieve specified outcomes. The Undergraduate Graduation Evaluator is responsible for complex tasks regarding all processes related to the work distribution, communications, and processes for all graduation candidacy verification, processing and awarding of degrees. This position provides audit and analysis, and assessment for students attempting to complete Title 5, CSU and University requirements relating to undergraduate baccalaureate degree requirements which require a high level of professional judgment. This position also serves as a liaison to the college success centers and campus departments in providing degree related information for effective advising of university, major, minor, residency and honors requirements. The objective in all interactions is to provide information regarding policies and procedures, to suggest actions, to develop and recommend solutions which will address issues, and to establish cordial and collegial relationships with those contacting the Office of the Registrar. This position also provides graduation workshops to graduating students and advisors.

Key Responsibilities
  • Evaluates, verifies and confers degree requirements based on established university policies and procedures
  • Notifies students of evaluation results
  • Provides appropriate solutions to satisfy outstanding requirements, while explaining relevant policies, regulations, and procedures. Refers students to other academic units when appropriate
  • Provides comprehensive advice to students’ on complex and sensitive issues relevant to transfer credit and graduation requirements (GPA, GE, catalog rights, etc.)
  • Responsible for completion of assigned workload of degree clearance within prescribed timelines for initial and final degree checks
  • Verifies accuracy of the academic record and provides corrections to consults the Records team for any changes made to the record
  • Serves as the Registrar’s office college liaison to collaborate with colleges, departments, and other academic units to resolve issues relating to completion of General Education, major and/or minor requirements for students who have applied for graduation
  • Collaborates with the Admissions Office and Articulation Officer to resolve transfer credit and articulation issues
  • Provides graduation instructional presentations and workshops to academic units
Knowledge, Skills & Abilities
  • Ability to interpret complex CSU and SJSU policies as they relate to transfer credit, GE, catalog rights, GPA, etc.
  • Working knowledge of software applications: word processing, spreadsheet, database management
  • Ability to perform accurately in a detail-oriented environment
  • Ability to handle multiple and complex work priorities, organize and plan work and projects
  • Ability to reason logically and analyze and solve organizational and operations problems of one or several program areas and recognize specific college needs
  • Ability to maintain confidentiality and appropriately handle sensitive communications with students, parents, employees and external agencies
  • Ability to interpret and apply program rules and regulations
  • Ability to use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements
  • Ability to collect, compile, analyze, and evaluate data and make verbal or written presentations based on these data
  • Ability to advise students individually and in groups on routine matters where required
  • Ability to identify conflict, problem solve, and resolve student problems and concerns in the most efficient manner possible
  • Ability to use tact and sensitivity to ensure students’ understanding of complex information
  • General knowledge of research and interview techniques; and of the principles of individual and group behavior
  • Familiarity with FERPA and data security best practices
  • Thorough knowledge of university methods, procedures and practices; English grammar, business writing, punctuation and spelling
  • Strong oral communication and critical thinking skills
  • Must possess excellent customer service and public relations skills; English grammar, business writing, punctuation and spelling
  • Ability to prioritize and effectively utilize time management skills in daily tasks
Required Qualifications
  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job related field
  • Two (2) years of professional experience in one of the student services program areas or in a related field. A master’s degree in a job‑related field may be substituted for one year of professional experience
Preferred Qualifications
  • Bachelor’s degree
  • Experience in analyzing, reviewing, and interpreting records and process requirements
  • Demonstrated three (3) year of professional experience in a higher education enrollment services environment, preferably in records, graduation evaluations, advising, admissions and/or degree audit in a large size institution
  • Demonstrated experience applying academic policies to records
  • Experience with databases and customer service based technology systems
  • Demonstrated experience in customer service; providing information in written and verbal communication to stakeholders using current technology


Compensation

Classification: Student Services Professional II
Anticipated Hiring Range: $4,610/month - $4,790/month
CSU Salary Range: $4,610/month - $6,556/month
