Job Description

The Office of Government Relations at the University of Missouri system is seeking applicants for Sr. Executive Assistant. The Sr. Executive Assistant will be responsible for organizing and executing a wide variety of administrative duties to support the Assistant Vice President and the Director of Government Relations. The position will collaborate with a wide variety of constituents across the University of Missouri System as well as state and federal legislative staff. We are seeking a professional who is looking for a challenging and exciting position, who thrives in a fast-paced environment, with the ability to address issues and problem solve. Key responsibilities include but are not limited to:
  • Effectively manage outlook calendar scheduling, plan and schedule meetings and teleconferences. Resolve scheduling conflicts as they arise and prioritize issues to ensure an effective time management approach. Communicate agendas and respond to calendar changes as needed. Maintain contact lists in Outlook and databases as needed. Serve as a point of contact for legislative and congressional offices; assist with tracking of legislation, hearing schedules and fiscal notes, and plan legislative related events and file lobby reports.
  • Work closely with the Office of the President of the University of Missouri to coordinate events that promote and enhance the value of the university to key legislative constituents.
  • Manage all aspects of travel arrangements in a timely manner. Coordinate flight, hotel, car, etc., and prepare detailed itineraries. Prepare travel and expense reports and coordinate reimbursements.
  • Oversee the responsibilities associated with the Missouri Ethics Commission requirements as it relates to lobbying activities at the university.
  • Manage incoming and outgoing correspondence and ensure that all correspondence is opened on a daily basis, distributed as appropriate, and items are tracked for follow up by appropriate staff.
  • Prepare proof correspondence including letters, memos, documents, and reports as required.
  • Ensure meetings are properly organized; prepare participants by setting the appropriate agenda. Capture key take-aways and follow-up actions to be distributed to attendees. Prepare meeting materials, consolidating input from executive team into a cohesive presentation.
  • Oversee department expenses; process vouchers and travel expenses; complete required Missouri Ethics Commission reporting; approve time & labor.
  • Conduct research as needed for members of the department’s team.
  • Collaborate with staff to ensure consistent phone coverage, work coverage and general team support.
  • Perform other related duties as requested or as responsibilities dictate (e.g., weekly time and expense reports, maintain up-to-date paper and electronic files, etc.)
Salary

Salary Range: $ 48,000-55,000

GGS Grade: 10

University Title: SENIOR EXECUTIVE ASSISTANT

Monday-Friday, 8-5p

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.
