Summary:


This new position, timed with the 2022-2023 launch year for the Rollins College Alumni Engagement Strategic Plan, will provide vital support for the three priorities of the plan, notably with the Community Building and Affinity Programming priority through management of regional and affinity-focused events and volunteerism, Alumni Weekend, and communication tactics outlined in the plan. This dedicated role will ensure continuity of quality for the Alumni Weekend experience while making staff process improvements and programming innovation as aligned with the plan's strategic goals. This position will also provide group administrator support for a slate of regional and affinity groups through the new RollinsConnect digital platform.

The position will report to the Director of Alumni Engagement and will work closely with teams across the Institutional Advancement Division, the President's Office, the Crummer Graduate School Alumni Relations Assistant Director, the Athletic Director and other College offices to develop and implement the strategic plan for building community and affinity-based relationships among alumni and students. This includes event planning and logistics and alumni/volunteer outreach and engagement.

Primary Responsibilities:
  • Manages Alumni Weekend projects/programs from strategy and creation, through successful implementation.
  • Ensures experiential content aligned with the College's strategic plan for Alumni Engagement, manages production schedules and calendar, and tracks costs and expenditures.
  • Creates and implements experiential programs and events (in-person and digital), volunteer opportunities and communications as aligned with the goals and tactics of the Community Building/Affinity priority for the College's Alumni Engagement Strategic Plan.
  • Provides group administrator support for regional and affinity groups through the new RollinsConnect digital platform.
  • Maintains close effective working relationships with colleagues across Institutional Advancement, Rollins Marketing, and Communications & External Relations offices, other campus partners, and outside vendors.
  • Develops, distributes, and maintains event guidelines for faculty and staff to clarify role of involved parties in planning and executing distinct events. Prepares related event briefing materials for the President and Cabinet, briefs Cabinet, and the Institutional Advancement Division in advance of regional and affinity events as well as Alumni Weekend.
  • Manages data requests to produce Alumni Weekend invitation and guest lists. Manages event response process. Ensures all event attendees are recorded in the College's CRM.
  • Manages the design and timely production of Alumni Weekend collateral materials. Oversees appropriate follow-up communications and actions to drive attendance.
  • Ensures that all vendors are entered into the College's procurement systems and invoices are paid promptly.
  • Develops Alumni Weekend and experiential program follow-up surveys for guests and internal campus partners and analyzes findings.
  • Utilizes Alumni Engagement student employees, or volunteers as determined to be necessary support for Alumni Weekend execution.
  • Researches best practices and remains current on trends, strategies, and services offered by other institutions. Drafts and maintains documentation for processes and policies, as applicable.
Minimum Qualifications
& Education:
  • Bachelor's degree from an accredited college/university.
  • Two to four years' experience in event planning and constituent relations.
  • Demonstrated commitment to promoting and enhancing diversity and inclusion.
  • Experience employing technology, digital marketing tools, data management and analytics to optimize alumni engagement. Familiarity with relevant and contemporary tools/technologies for email marketing, social media (e.g., Facebook, Instagram, LinkedIn, Sprout), web content management, video, etc.
  • Excellent verbal and written communication skills; Possess persuasive writing and editing skills with an attention to detail; thorough knowledge of business English, spelling, and grammar.
  • Demonstrated initiative, creative energy, and ability to manage complex projects or communications. Flexible, self-motivated, adaptable, and comfortable working in ambiguous and ever changing, fast-paced environment.
  • Superior planning, project management and organizational skills; keen attention to detail; ability to set and balance multiple priorities and manage time effectively in a deadline-driven environment. Be an active problem solver.
  • Creative and resourceful thinker with strong skills in collaboration and partnership-building. Ability to work independently and as a team player while handling multiple priorities with minimal supervision.
  • Willingness to become expert in how to use tools (RollinsConnect) to increase engagement for affinity groups as aligned with Alumni Weekend programming.
  • Computer fluency including Microsoft Office Suite, ability to learn and utilize CRM database, reporting tools, and other technology/systems.
  • A strong desire to learn the unique characteristics and culture of Rollins College and appreciate the passion and expectations of its alumni.
  • Ability to handle confidential information, maintain and update files with high degree of accuracy, and sensitivity to the importance of alumni relations.
  • Possess a valid driver's license, or ability to obtain an Florida driver's license within 30 days of accepting the job, and acceptable MVR are required.

Preferred
Qualifications:

  • Alumni events and volunteer management experience.
  • Higher education or non-profit experience.

Work Environment:
  • Campus-based, front-facing customer service position, working in an office environment.
  • Work requires visual strain and use of computer.
  • Occasional evenings and weekends required throughout the year including Family Weekend, Alumni Weekend, and select board meetings.
