Position Purpose
Provides administrative support to the Associate Vice President for Development in the proactive management of a multifaceted, regionally defined major gift program and Family Giving and Engagement program. Manages critical office functions and projects, and exercises discretion and judgment in coordinating and responding to communications on behalf of the Associate Vice President. Manages all leadership giving coordinators and day-to-day critical organizational functions and daily operations.

This position offers a hybrid opportunity to work both remotely and onsite and therefore requires that the incumbent reside within a commutable distance to Lebanon, NH.

Bachelors or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities
* Five to seven years of office experience with a high degree of autonomy, preferably in an academic or corporate environment
* Staff management experience, including ability to lead, train and onboard staff
* Demonstrated experience working with high level clients and senior members of an organization
* Highly proficient with computer applications, preferable MSOffice Suite (Word, Excel, Outlook, and PowerPoint); experience working with database management software
* High level of initiative and attention to detail
* Comfortable with and ability to remain flexible in a rapidly changing fast-paced work environment
* Strong organizational skills, including ability to prioritize multiple tasks and work independently in a fast-paced work environment
* Exceptional interpersonal and communication skills, diplomacy, and a commitment to professionalism
* Sound judgment, discretion and confidentiality with donor-related information and sensitive matters
* Team player and resourceful in problem solving, reliable and flexible
* Strong analytical skills
* Demonstrated writing and proofreading skills
* Ability to understand, facilitate, and implement complex scheduling
Preferred Qualifications
* Demonstrated ability to take personal risks in resolving challenges in a complex work environment
* Experience managing others, either as direct reports or as a team leader

Key Accountabilities
Description
Serves as key partner for Associate Vice President ( AVP ) in the oversight of daily appointment calendar, assuring reasonable agendas and expectations have been set and AVP is adequately prepared for meetings and events. Provides comprehensive travel planning and itinerary preparation, post-travel debriefs, and expense processing in accordance with Dartmouth’s guidelines and policies. Proactively assists the AVP in managing priorities, including addressing departmental requests and inquiries, and briefs staff as needed on changes in schedules and priorities that need personal attention. Keeps AVP informed on important matters, including those that are sensitive in nature. Coordinates and participates in various meetings as appropriate while recording and distributing meetings minutes as needed. Prepares and distributes a variety of communications, proposals, and reports for the AVP and other staff members. Maintains prospect records; organizes and manages print/digital records, correspondence, and other files within the department. Works closely with the finance center and Advancement colleagues to manage business transactions and the preparation of the annual budget and quarterly projections.

Description
In partnership with AVP, Leadership Giving staff members, and donor relations officers, engages in the cultivation of top alumni, parents, and friends of the College. Assists AVP in the planning and execution of a regular schedule of volunteer touch points, providing campaign updates, volunteer materials, and access to senior leadership. Oversees the gathering, maintenance, analysis, and summarization of data on volunteer participation and impact, including committee membership, assignments, tasks, proposals, and contact reports using Microsoft Excel/Word, Data Warehouse, and Advance prospect data management systems. Preparation of correspondence, reports, briefings, and other materials with responsibility of proofreading for accuracy and making editorial changes and/or suggestions, often securing pertinent information from multiple sources.

Description
Supervises a team of five leadership giving coordinators, ensuring that workload is consistently spread across the department. In consultation with the AVP and Regional Directors, determines the right frontline/coordinator pairings. Tracks coordinators’ work and ensures that data is entered and gathered according to development policies. Coordinates training for the team—either as a whole or on an individual basis. Works with each team member on their performance and identifies growth opportunities and training plans to foster career growth.

Represents the AVP, Leadership Giving, and the Advancement division to internal and external constituencies in a positive and professional manner while maintaining appropriate levels of confidentiality and sensitivity. Maintains a high level of collaboration and communication with departmental and regional staff, and other divisional/institutional colleagues to ensure smooth communications.

Description
Develops and implements processes and systems to manage day-to-day activities and provides training on tools and processes to Leadership Giving staff, including partnering with departmental leadership to create robust orientation schedules appropriate to the position while continually identifying training areas in need of improvement. Represents Leadership Giving as the first point of contact for regional office staff. Leads regular team meetings of administrative staff to ensure coordination of work among team members while providing leadership in best practices, problem solving, and communication, as well as contributing to professional growth of administrative staff by serving as a mentor and leader.
