Job Description Summary:

Under general management direction, supervises central district duplication services and administrates district duplication functions for remote copy centers and strategically located copier stations. Supervise all activities in the district duplication services; oversee all aspects of production and customer service; maintain high volume equipment, and perform related work as required. To ensure the timely and accurate production of printed materials; develop and maintain a standardized districtwide production work orders process, reviews copyright materials, and distribute work assignments to employees; maintain accurate and complete department billing records; determine equipment repair schedule; maintain supply inventory

Job Description:

Description of Duties and Tasks
  • Manages the operation of duplication equipment, including, but not limited to, operating computerized, high-volume duplication and related equipment for the production or reproduction of District materials; perform binding and finishing work for printed materials; copying and printing from static and digital sources; folding and stuffing; coil binding; shrink wrapping; lamination; and cutting processes.
  • Prioritizes and assigns work orders for duplication services; coordinates large projects with customers and ensures supplies are available for use within the time frame required.
  • Advises and collaborates with external sources for special print production services as needed.
  • Serves as customer services central point of contact for the districtwide duplication services; explains College duplication policies or procedures and resolves service-related concerns.
  • Researches and finds resolutions for printing problems.
  • Provides excellent customer service and project follow-through.
  • Maintains records and tracking system of duplication requests and production deliverables.
  • Maintains the inventory of collegewide duplication equipment and service history.
  • Assists in the forecasting and purchasing of new equipment and supplies.
  • Oversees collegewide copier networking services; researches customer inquiries and copier problems, networking capabilities, and connectivity issues.
  • Works with technicians to seek problem resolution.
  • Maintains operational procedures and documentation regarding copier networking.
  • Maintains database with user codes and copier/printer IP addresses.
  • Performs preventative maintenance on copiers and duplication equipment and reports malfunctions to service technicians.
  • Orders and maintains an inventory of supplies. Keeps updated billing/invoicing records and track expenditures and reconciliations.
  • Supervises, trains, coaches, directs and coordinates the duplication staff,
  • Develops and implements procedures for the Duplication Services; provides input on changes in departmental policies, procedures, pricing, and equipment acquisition.
  • Screens material to ensure compliance with applicable copyright laws and informs faculty and staff of any copyright issues.
  • Working in conjunction with the requestor, ensures proper formatting and alignment of files for print.
  • Schedules and prioritizes work assignments for Duplication’s staff. Routes completed work orders to District departments.
  • Operates with an instinctive understanding, responsibility, and comprehension of the need to shift priorities to support Executive Administration.
Knowledge

  • Appropriate decision making skillset along with the ability to analyze day-to-day processes
  • Practices, principles, and technology of copying and duplication processes.
  • Supervisory principles, practices, and methods.
  • Familiarity with inks and paper stock used in duplicating processes.
  • Budget preparation, bid and purchasing procedures, and expense control.
  • Methods of documenting and tracking expenditures and reconciliations.
  • Operate various other equipment such as paper cutting, binding, folding, and collating machines.
Skills

Technology Skills
  • Applicable operation of computerized systems, high-volume duplicators, and related printing equipment.
  • Current computer programs used in the operation of a duplication services.
  • Use a variety of spreadsheet, word processing, database, and presentation software.
Required Work Experience
  • Two years of related work experience, including one year of supervisory experience.
  • Completion of the ACC Supervisor Certificate Series Program will satisfy the supervisory experience required for this position.
Required Education
  • High School diploma or educational equivalent.
  • Plus, a combination of sufficient training and experience to demonstrate the knowledge and abilities listed above, including two years of equivalent work experience.
Special Requirements

Licenses/Certifications; Other
  • Valid Texas Driver's License and reliable transportation for local Austin area travel.
Physical Requirements
  • Work is performed in a standard office or similar environment.
  • Subject to standing, walking, sitting, bending, reaching, pushing, and pulling.
  • Frequently stacking various materials.
  • Frequently moving from one area to another.
  • Hand, wrist, and finger dexterity to operate various office equipment.
  • Hear and speak to exchange information on the telephone or in person.
  • Subject to constant interruptions.
  • Exposure to machine vibrations and noise while operating machines. Occasional lifting of objects up to 50 pounds.
Safety
  • Supervise the safe operation of equipment. Facilitate safety inspections. Take reasonable and prudent actions to eliminate identified hazards. Ensure employees receive appropriate safety training and foster a workplace safety culture.
Salary Range

$54,044 - $67,555
