Job Description

The Budget Support Associate position assists the Director of Administration and Finance in the daily financial and administrative operations in the Office of the Vice President for Research with confidentiality, discretion, and good judgement. Responsibilities include tracking of funding commitments. expenses, and balances for various initiatives across campus; processing and reconciliation of ePro orders, purchase requisitions, travel vouchers, credit card charges, reimbursements, journal entries, MyCode adjustments, and other financial transactions ensuring transactions comply with SU policies. The position creates and/or runs monthly budget and expense reports as well as ad hoc reports as needed and assists with monitoring payroll time input approvals. The position also provides coverage in the absence of the Executive Assistant to the Vice President for Research.

Qualifications

Bachelor’s degree and a minimum of 3 years relevant experience in financial and administrative areas required. Higher education experience is preferred. An appropriate combination of education and experience will be considered.

Job Specific Qualifications

Knowledge of University policies, procedures, best practices, and computer applications (PeopleSoft, ePro, Microsoft Office Suite, especially Excel and pivot tables, FAB /DataInsights) as well as the ability to learn new computer applications quickly. Attention to detail, strong organizational, analytic and problem-solving skills required. Ability to prioritize and manage multiple responsibilities. Confidentiality, flexibility, and dependability as well as the ability to adjust to changing priorities are critical.

Responsibilities
  • Assist in the management of financial activity of the Office of Research including, but not limited to, recording and tracking of funding commitments and expenditures, year-end closing, transitioning funding balances to the new fiscal year as appropriate, and other related financial activities.
  • Process and reconcile ePro orders, purchase requisitions, travel vouchers, credit card charges, reimbursements, journal entries, MyCode adjustments, and other financial transactions ensuring accuracy and compliance with University policies and best practices. Identify, analyze, and resolve issues that may arise concerning expenditures.
  • Create and/or run monthly budget and expense reports as well as ad hoc reports as needed.
  • Create and maintain listservs; develop, create, and maintain pivot table spreadsheets, and various forms as needed. Maintain electronic and paper financial office files. Maintain and order office supplies.
  • Provide coverage in the absence of the Executive Assistant to the Vice President for Research.
  • Monitor time input for Office of Research departments ensuring weekly hours and paid time off are approved by supervisors. Assist in entering HR transactions as appropriate.
  • Assist with special projects and other duties as assigned.
