The Center for the Advanced Study of India (CASI) in the School of Arts and Sciences seeks an Assistant Director, Student and Visitor Programs, to work with CASI's senior management to develop and lead all student and visitor programs of the Center, to engage and coordinate with other Penn academic and administrative entities, and to manage the outreach activities related to student and visitor programs, and cultivate alumni of student programs and other external supporters.
Job Description
Founded in 1992, the Center for the Advanced Study of India (CASI) at the University of Pennsylvania is the first research institution in the United States dedicated to the study of contemporary India. A national resource, it fills an urgent need for objective knowledge of India's politics, rapidly changing economy, and social transformations.
The Center seeks to enrich our understanding of contemporary India by conducting data-driven, policy-oriented research on India's most pressing challenges, convening discussions with scholars, policymakers, and practitioners on key issues, hosting distinguished and new voices from India at Penn, and providing opportunities for new generations of students and scholars to conduct research and hold internships in India.
Currently in its sixteenth year, CASI Student Programs have grown into an interactive and enriching year-round educational experience, drawing Penn students together throughout the academic year and generating new initiatives and forms of engagement in the process. The Visitor Programs span CASI's 30-year history engaging rising scholars and distinguished experts of contemporary India with the Penn community. The Assistant Director also oversees the outreach activities related to student and visitor programs.
DUTIES:
Student Programs
Lead, manage and organize all aspects of student programs including the annual competitions for India-based summer internships, field research travel funds, and the CASI-based yearlong Sobti Family Doctoral Fellowship:
*Work with the Center's leadership (Director, Deputy Director, Senior Associate Director), campus (e.g. Penn Global, Penn Abroad/GRIP, Penn CAPS, CURF, etc.) and India-based internship partnering organizations, and UPIASI (Univ. of Pennsylvania Institute for the Advanced Study of India), to ensure successful delivery of student programs;
*Design applications for the annual competitions; field student inquiries and advise them on the opportunities and guidelines; oversee the selection process and identify members of the selection committee;
*Lead and manage the design and production of all forms of promotional materials (print, digital, video, etc.) for student programs; engage programs' student alumni on campus in outreach efforts for annual application pool; in collaboration with CASI's communications arm, disseminate information widely to the Penn community and update and maintain the targeted outreach list of student groups and campus partners;
*Organize student information, pre-departure and post-program evaluation sessions, as well as student orientations in Delhi with UPIASI and, whenever possible, lead them in person;
*Manage the administrative requirements with support from the Administrative Coordinator including payments of funds; liaise with the Consul General of India New York on visa categories, and advise student awardees on the visa application process.
*Organize student sessions related to development in India and the missions of internship partners, featuring speakers from CASI's Visiting Scholar / Fellow and guest speakers' programs.
*Act as primary liaison with partnering organizations in India and build CASI's in-country program by identifying and cultivating potential partners, ensuring key factors are met such as affordable and safe accommodations for students during their stay in India.
*Travel to India for site visits to summer partnering organizations to strengthen these relationships.
*Organize and manage outreach activities related to student programs and alumni in collaboration with CASI communications;
*Represent Student Programs within the Penn community, to alumni and donor groups, and select CASI student programs alumni to present at campus events and occasionally at CASI events off site;
*Work with CASI senior management to design student programs budgets for potential donors and contribute to planning and implementing new initiatives of the Center for student engagement.
*Advise and mentor current students and recent graduates of CASI Student Programs as they apply for post-graduate fellowships, enter the job market, and prepare for graduate school.
Visitor Programs
Working closely with CASI's senior team and supported by the Center's Administrative Coordinator, organize all aspects of campus visits and short-term fellowship appointments of India experts. This includes but is not limited to guest speakers of CASI-funded distinguished lecture series, conferences and workshops, short-term in-residence Visiting Fellows and Scholars, and non-resident academic affiliates:
*Based on the terms of each visitor's appointment established by CASI senior management, negotiate and secure contracts for campus or off campus accommodations; organize travel with UPIASI and/or CASI's Administrative Coordinator; with input from CASI's senior team, create, manage and update the campus schedule for distinguished guests; coordinate visitors' meetings with faculty and staff on campus and organize sessions with students; arrange payments through Penn or UPIASI for visitor stipends and honoraria;
*If a foreign national, ensure the visitor has an active U.S. visa (B-1 or J-1 Scholar) and appropriate travel/health coverage for the duration of their campus visit, and whenever applicable initiate and manage U.S. J-1 Visa preparations with Penn ISSS;
*Manage visitors' arrival with the Administrative Coordinator; and Coordinate academic affiliation requests for in-resident and non-resident fellows and scholars through the SAS Dean's Office Faculty Affairs division.
Student &Visitor Programs Related Outreach
Manage CASI events and outreach related to the Center's Student and Visitor programs from information sessions and student research symposia to the distinguished lecture series and keynotes for conferences and workshops:
*Identify and secure campus venues, and determine and make special event arrangements in such areas as audio-visual equipment, room setups, catering, furniture rental and staffing needs;
*Work with the CASI communications and external designers to create promotional pieces for events;
*Collaborate with CASI's senior team and communications arm and serve as the team lead on campus events outreach plans; likewise, collaborate with the core team on and manage coordination of major events surrounding CASI's annual International Advisory Board meeting held on campus or elsewhere;
*Assist in the data management to ensure outreach listservs are accurate and current.
Supervise and manage part-time student staff supporting student and visitor programs and CASI events on campus and elsewhere.
Performs additional duties as assigned.
QUALIFICATIONS:
Bachelor's degree in the Social Sciences is required, Master's degree in related field preferred and minimum of 2-3 years of experience or equivalent combination of education and experience. Ideal candidate has an applied knowledge of contemporary India.
The ideal candidate should possess excellent organizational, writing, speaking, computer, and interpersonal skills, and the ability to work in a collaborative environment under deadline. In addition, the candidate should possess the ability to function in a frequently changing environment, and to function as part of a team, and has a successful record in contributing to higher education programs.
Proficiency in MS Office (including Excel), Qualtrics, Penn systems such as iPenn and others a plus. Proven experience in social media and multimedia preferred. Proficiency in an Indian language would be an asset.
Occasional evenings and weekends. Periodic travel to India.
