About the Position:

Facilities Management is committed to planning, developing, and maintaining a safe, sustainable, and high-quality learning and working environment for the campus community. Facilities Management provides oversight of university resources and assets and is responsible for the development of the University's facilities including land use planning, capital improvement, project development, construction, as well as facilities operations and maintenance including custodial services, landscape services, building trade services, mechanical and electrical, and recycling services. We are seeking an exceptional individual to join our Capital Programs and Facilities Management team as the Facilities Payroll Coordinator (Administrative Support Coordinator II). The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under the direction of the Finance Manager, the Payroll Coordinator independently performs a broad range of complex administrative duties to support the operations of Capital Programs and Facilities Management (CPFM). Works closely with management to coordinate staffing schedules, payroll documents, and financial project activities in day-to-day operations. Organizes work, set priorities, accurately perform mathematical calculations, give close attention to detail and meet critical deadlines. Selects and applies a wide variety of moderately complex policies, procedures, programs, and applicable state and federal laws, and collective bargaining agreements. Integral to the operations of multiple departments, works with various groups on campus to ensure the continued success of the organization. Works well in a team environment and understands the balance of taking ownership, sharing duties, and taking initiative to complete tasks as needed. Works with key groups in CPFM who care for the campus in order to support the university's mission, vision, and values in higher education. Other duties as assigned.


Essential Qualifications:
High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.


Preferred Qualifications:
Equivalent to one year of payroll administrative experience and human resources record keeping and data entry. Ability to acquire working knowledge of, and independently select and apply, CSU policies, procedures, programs, guidelines, applicable state and federal laws, educational codes, and collective bargaining agreements. Excellent organizational skills to perform a broad range of complex tasks with minimal supervision. Excellent verbal communication skills to establish and maintain effective and cooperative working relationships with multiple internal and external contacts. Ability to independently prioritize assignments for multiple individuals and meet deadlines. Must be flexible to function effectively in a fast-paced environment with constant interruptions and changing priorities. Skill in using PC (Windows) with Word, Excel software utilizing complex spreadsheets, Outlook Calendar/Email, PowerPoint and TMA Work order system. Excellent written communication skills to compose/draft/edit various reports, policy/procedure manuals, and develop written/graphic presentations.
