About the Position:

Faculty Support Services (FSS), provides direction and oversight to the entities comprising the Faculty Commons. Led by the Associate Vice-President for Faculty Affairs & Support, and supported by the divisions of Information Technology and Academic Affairs, the directors and staff of the Academic, Faculty Development Center (FDC-AA), Faculty Affairs and Records (FAR-AA), Online Education and Training (OET-AA), Writing Across the Curriculum (WAC-AA), and Academic Technology Center (ATC-IT) work together to provide support and services to all faculty. We are seeking an exceptional individual to join our team as the Confidential Administrative Support II. The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Provides confidential, administrative support to the Associate Vice President for Faculty Affairs & Support (AVP-FAS) for the coordination of day-to-day operations of all functions and departments reporting to the AVP-FAS and confidential support to the Executive Director of Faculty Affairs and Records (FAR). In supporting the AVP-FAS who confers with the union and the Executive Director of FAR who maintains the Personnel Action Files (PAF) and evaluation processes for all full-time faculty, has privilege to confidential material and coordinates activities related to meeting and conferring. Regularly utilizes discretion and independent judgment in handling confidential materials and sensitive situations brought to the department of Faculty Support Services (FSS). Independently performs varied and specialized administrative, analytical and coordination responsibilities to support the function of the AVP-FAS and the organizational operations of department of FSS, to meet programmatic and administrative goals. Leads and coordinates projects per the AVP-FAS. Serves as a lead to the student assistants and staff when appropriate. Other duties as assigned.

Essential Qualifications:
High School diploma or the equivalent at least one year of general office experience. Possession of fundamental written and oral communication skills, including a basic foundation in English grammar, spelling, and punctuation. Ability to understand basic office procedures, operate standard office equipment and software, and perform basic arithmetic. Possession of basic typing and keyboard skills. Ability to provide work direction, train, and provide guidance to other employees. Ability to make recommendations on employee staffing issues. Ability to coordinate events and special projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

Preferred Qualifications:
Previous experience in an academic setting and knowledge of legal and accounting principles. Knowledge of academic policies, collective bargaining process and agreements and personnel and performance evaluation systems. Bachelor’s degree from an accredited university and/or business school training preferred. Equivalent job experiences may be substituted on a year-for-year basis. Experience with managing, tracking and reporting on confidential information and/or data. Thorough knowledge of English grammar, spelling and punctuation. Proficiency in the use of Microsoft Office (Outlook, Word, Excel, PowerPoint). Demonstrate ability to remain current in computer skills and other office productivity tools. Ability to communicate orally and in writing in an effective manner.

Three years of progressively responsible experience in administrative support position involving access to and appropriate handling of confidential information and planning and organizing of work and projects. Problem solving skill and ability to manage multiple priorities effectively. Thorough knowledge of office methods and procedures. Excellent interpersonal skills to effectively represent an executive, to use professional judgment and to interact with faculty, administration, staff, students and general public.
