Job Description

SCRC is seeking a Collections Manager to manage the movement of rare, fragile, and unique collection materials within and to/from SCRC -related facilities as well as day-to-day stacks activity. This position will oversee the ongoing stacks activities in SCRC¿s secured spaces located on the 6th floor of Bird Library, in the Belfer building, and at the Hawkins Warehouse. The Collections Manager will create and maintain location records, policies and procedures, and other documentation related to SCRC collections (Special Collections, University Archives and Belfer Audio Archive). They will oversee the safe and responsible movement of all collection material within and between facilities (including palletizing collections for ingest and permanent storage into the Facility as well as preparing materials for shipping to outside vendors). The position will be responsible for direct transport, or arranging the transport, of extremely valuable, fragile, and other specialized collection material outside the purview of the regular Libraries Delivery team responsibilities (including but not limited to material such as record discs, oversize architectural drawings, large 3D artifacts, artwork, and architectural models).

Qualifications
  • At least 3 years of experience with warehouse inventory management; experience with library stacks or museum collections preferred.
  • Must be able to repetitively bend, lift, push, reach, walk, and carry on a daily basis.
  • Physical position involves pushing loaded book trucks and flatbeds, and continual lifting, lowering, and carrying packages unassisted that typically weigh 25 – 35 lbs. and may weigh up to 60 lbs.
  • Valid New York State driver’s license required.
  • Knowledge of inventory management philosophy and processes.
  • Knowledge and experience handling rare and valuable material preferred.
  • Experience with lift operation preferred.

  • Experience with information systems and web-based applications, such as databases, online search and discovery tools, and cataloging/metadata applications.

Responsibilities
  • Plan, develop, implement, manage, and assess shelving operations within the secured SCRC stacks spaces located on the 6th floor of Bird Library, in the Belfer building, and at the Hawkins Warehouse, including but not limited to updating and maintaining the accuracy of the location records within SCRC’s collection databases and other documentation related to all SCRC collections (Special Collections, University Archives and Belfer Audio Archive). Develop and maintain shelving retrieval and reshelving processes, accommodating new technologies and systems as needed.
  • Manage processes and perform basic stacks management duties including shelving, tracing mis-shelved/missing items, shelf reading, and adding and updating locations in the collections management database. Manage and perform stacks projects related to shifting of collections due to space constraints, processing/cataloguing priorities, or movement to semi-permanent or permanent locations. Train and supervise staff and student assistants to shelve and shift collections as needed.
  • Manage the safe and responsible movement of all physical collection material between SCRC -related facilities, including preparing and palletizing collections for ingest and permanent storage into the Facility (MOD2) and for special vendored/outsourced projects. Collaborate with Libraries staff on cross-departmental initiatives and workflow, including planning and executing safe collection moves between facilities.
  • Train and work with SCRC staff, Libraries Delivery Team, Libraries Facilities staff, and the Department of Digital Stewardship to ensure all SCRC collections are being handled and transported according to SCRC’s needs and specifications.
  • Work with SCRC and Department of Digital Stewardship staff to identify, locate, and prepare for shipping, collections selected for vendored/outsourced projects. Verify contents upon return from vendor with SCRC Processing staff and ensure appropriate permanent shelving location.
  • Assist University Archives staff in coordinating the transfer of University records from campus offices.
  • Assist SCRC Processing staff with accessioning of new special collections acquisitions, ensuring they are reviewed, inventoried, rehoused, and documented according to SCRC practice prior to locating a new shelf location in one of SCRC’s facilities. Work with SCRC Processing staff to rehouse and provide box lists for existing collections as needed.
  • Ensure SCRC stacks in Bird, Belfer and Hawkins are clean and organized. Due to the high level of security of SCRC spaces, arrange and monitor University custodial and facilities maintenance staff as needed. Consult with Conservation Librarian and Lead Archivist as needed if collection materials appear damaged or in danger of being damaged; identify preservation, security, and other issues pertaining to stored material and coordinate with appropriate SCRC or Libraries staff to resolve.
  • Transport, or arrange for transport of, highly valuable, fragile, and other specialized SCRC collection material that is unsuitable or unable to be transported by regular Libraries Delivery staff (i.e., highly fragile collections, record discs, large 3D artifacts, artwork, etc.). Ensure the safe handling and transport of select archival materials to and from SCRC off-site storage locations, as directed by SCRC Libraries staff, which are outside of SU Libraries Delivery responsibilities.
  • Assist in pick-up of donations locally and outside Syracuse.
