Graduate program administration responsibilities include graduate admissions processing; Research/Teaching Assistant appointments; Fellowship nominations; maintenance of student records and email listservs; advisor assignments; revisions of graduate handbook; organization/scheduling of graduate student orientation and M.S. project presentations. Program curricula support involves semester-by-semester course scheduling. Act as search administrator to process departmental faculty and staff hiring searches. Other academic related duties within department. Qualifications
  • Bachelor’s degree or equivalent plus 5+ years of work experience preferably in an academic environment; computer skills; organizational experience preferred; ability to problem solve issues for graduate students, faculty, and staff.
Job Specific Qualifications
  • Strong attention to detail and high level of discretion and confidentiality required.
  • Seamlessly handle multiple priorities.
  • Current knowledge of university policies and practices and excellent working relationships with personnel at all levels across campus.
  • Advanced knowledge of Microsoft Office including excel.
  • High level of data gathering ability, analytical skills, ability to read and interpret documents, management and delegation skills; strong organizational skills, advanced verbal and written communication skills; ability to prioritize tasks and manage multiple projects.
Responsibilities
  • Graduate program administration responsibilities include graduate admissions processing; Research/Teaching Assistant appointments; Fellowship nominations; maintenance of student records and email listservs; advisor assignments; revisions of graduate handbook; organization/scheduling of graduate student orientation and M.S. project presentations; forms processing (Programs of Study, Certification of Full-time Status, Add/Drop, Petitions to Faculty, Proposals for Independent Study, Request for Examination); certification of non-thesis M.S. degrees and degree audits for thesis MS and PhD students. For international students, facilitate the processing of Optional Practical Training ( OPT ) and Curricular Practical Training ( CPT ) requests, and F-1 Visa Extensions. Required to work in coordination with the Graduate Program Directors.
  • Program curricula support involves semester-by-semester course scheduling for entire department, room reservations for classes, registration permissions, schedule adjustments, submission of curriculum changes to the University Senate through Curriculog, and coordination of course evaluations at the end of each semester. Required to work in coordination with the Undergraduate Program Directors and Chair on all ABET accreditation-related matters. Maintain undergraduate email listservs.
  • Act as search administrator to process departmental faculty and staff hiring searches, search waiver requests, and hiring proposals. Prepare faculty and staff appointment letters for review and work with Academic and Faculty Affairs for necessary approvals. Collaborate, where necessary, with the Center for International Services regarding international hiring guidelines, including necessary Visa activities. Input and maintain HR appointments for departmental faculty and staff. Prepare worker’s compensation reports as needed. Participate in search committees as requested. Monitor faculty and staff leaves of absence.
  • Assist with development of academic program marketing materials and administer department social media accounts.
  • Organize new graduate student orientation each year; Organize and schedule BMCE MS Capstone Presentations, BEN and CEN senior design presentations, and certify graduate student degrees three times a year.
