We are seeking a Research Program Assistant II who will support the Adult AIDS Clinical Trials Unit (ACTU) and the HIV Prevention Trials Unit (HPTN) with both clerical and data activities. The ACTG and HPTN networks largely conduct trials related to HIV and are also participating in multiple studies of COVID treatment, immunologic response, and vaccines. General responsibilities will include data entry/keying of all case report forms, distribution of patient identifiers, scheduling and preparing patients’ study visits and providing clerical support including, but not limited to, filing and copying. Additionally, this position will participate in limited quality management activities in accordance with federal and sponsor regulations.


Specific Duties & Responsibilities

  • Schedule patient appointments into the JHMI scheduling system and print/distribute the clinic schedule to appropriate personnel for the next day’s appointments.
  • Prepare all relevant paperwork for patient visits including lab requisitions, specimen tracking forms, special case report forms, etc.
  • File case report forms and participant calendars/labels into participants’ protocol notebooks.
  • File patient charts at the end of each day. File protocol documents in filing cabinet.
  • Sort, log and file consent forms and stuff patient charts with amended documents. Xerox materials as requested on a daily basis.
  • Provide telephone coverage.
  • Order supplies; maintain inventory and organization of the supply cabinet. Unpack, inventory and organize data forms.
  • Deliver and pick-up documents and other needed study materials as requested.
  • Send completed data forms for secondary QA procedures before the data is keyed into the database.
  • Assist Data Manager to reconcile monthly delinquent data lists, queries and warnings within two weeks of receipt.
  • Transcribe and distribute staff and patient review meeting minutes.
  • Reconcile ACTG and HPTN invoices from various departments and charging within the appropriate hospital systems.
  • Maintain, reconcile, and replenish the petty cash account.
  • Data entry/keying of all case report forms.
  • Assist data manager with submissions of continuing reviews and updates to the IRB as needed.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Two years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Some college courses preferred.
  • General knowledge of medical terminology and HIV disease helpful.
  • Organizational abilities absolutely essential.
  • High level of attention to detail and accuracy.
  • Ability to work well with others to solve problems.
  • Ability to work under pressure and within deadlines.
  • Ability to maintain participant confidentiality.
