POSITION PURPOSE:

As a unit under the Division of Enrollment Management, the Department of Enrollment Services, Office of Undergraduate Admissions is responsible for a variety of tasks and operations within admissions. The Office of Undergraduate Admissions is a student-service-oriented department on campus facilitating entry into the University through provided policies set forth by the expectations of the university and CSU system.

Under general supervision of the Director of Enrollment Services and Senior Admissions Official, the Recruitment and Admissions Specialist will provide comprehensive services primarily related to the recruitment, admission and matriculation of incoming transfer students. The incumbent will work at both CSUB and local community college campuses (e.g. Bakersfield College, Taft, Porterville, Antelope Valley, and Cerro Coso) with college students, faculty, and staff and specializes in generating, cultivating, advising, converting and yielding prospective students to transfer to CSUB. Duties include, but are not limited to, the following: conducting pre-admission advising appointments, assisting in the transfer process to CSUB; scheduling and presenting workshops for students; work cooperatively with campus programs including EOPS, Testing Center, Admissions and Records, Financial Aid, Student Support Services, Advising Centers, Tutoring centers, and other academic advisement campus services; assist in the tracking and monitoring of target students accessing these services at CSUB and; model sensitivity and commitment to the needs of students, in particular, under-represented students; assist with special program projects, and perform other duties as assigned.

DUTIES & RESPONSIBILITIES:
  • Transfer Student Recruitment
  • Coordinate in-person and virtual recruitment events, fairs, and special initiatives. Will work collaboratively with recruitment staff on all the planning, logistics, staffing, and evaluation of recruitment projects.
  • Informs prospective students of the educational opportunities available at CSUB.
  • Identifies prospective students and pools of students for recruitment.
  • Assists prospective students in the application process.
  • Tracks inquiries and applicants.
  • Collects and maintains student data required for the application process.
  • Pre-and Post- Matriculation Advising
  • Responsible for assisting with the daily office operations and functions of the Transfer Resource Center.
  • Provides pre-admissions advisement to prospective and newly admitted students.
  • Assists prospective students in the matriculation process.
  • Assists students with clarifying their career pathway and selecting a program of study.
  • Follow up with admitted students to increase yield.
  • Admissions Evaluation and Processing
  • Conduct admissions evaluations for CSU eligibility for transfer applicants.
  • Review applicant materials including self-report information and submitted correspondence, create and assign communication, checklists, and comments required for the application (i.e., transcript requirements, test scores, application fees, etc.)
  • Track applicant files for completion of required documents for admission including transcripts, fees, etc;
  • Update and maintain student information system to reflect information on applicant.
  • Review applicant data to verify accuracy and soundness, of student self-reported and planned information.
  • Apply CSU policies to determine if applicants are eligible for admission; render admission decisions based on policies.

  • REQUIRED QUALIFICATIONS:

    EDUCATION & EXPERIENCE –

    Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or job-related field and two (2) years of recent related experience. Specialized experience during which the applicant has acquired and successfully applied the appropriate knowledge and abilities may be substituted for the required education on a year-for-year basis. A master's degree in a job-related field may be substituted for one year of the professional experience.

    SKILLS, KNOWLEDGE & ABILITIES (SKA's) –
    • Demonstrated ability and willingness to understand, embrace and communicate CSUB marketing messages.
    • Demonstrated ability to quickly develop comprehensive knowledge about CSUB and CSU/CSUB enrollment requirements, policies and procedures, as well as general knowledge about financial aid processes and procedures.
    • Incumbent must have the ability to: gather and analyze data; reason logically, draw valid conclusions, and make appropriate recommendations; and participate in and contribute to group meetings.
    • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
    • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
    • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
    • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
    • Thorough knowledge of English grammar, spelling and punctuation.
    • Ability to interpret, communicate and apply policies and procedures.
    • Demonstrated ability to maintain a high degree of confidentiality.
    • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
    • Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
    • Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
    • Must be willing to travel and attend training programs off-site for occasional professional development.
    • Must be able to work occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
    • Regular and reliable attendance is required.

    PREFERRED QUALIFICATIONS:
    • Previous work experience in a higher education setting in any of the student service areas described above.
    • Bilingual capabilities (English/ Spanish)

    PHYSICAL DEMANDS: SEDENTARY WORK – involves mainly sitting; minimal walking and standing; lifting light weight objects limited to 15 pounds.

    SPECIAL CONDITIONS:

    SCREENING: Only those applicants possessing experience most directly related to the immediate needs of the office will be invited to appear before a Qualifications Appraisal Board for the purpose of appraising training, experience, and interest in the position.

    BACKGROUND CHECK: Satisfactory completion of a background check (including a criminal records check) is required for employment.
