The Opportunity
The Registrar Advisor is a full-time, 12-month, position in the Office of the Registrar at Colorado School of Mines. The office is organized into three functional areas: Advisors, Systems, and Policies and Procedures. Under the direction of the Associate Registrar – Advising & Operations, the Registrar Advisor provides student services advising and support to prospective and current students, faculty, staff, and alumni. The position works independently in researching, planning, coordinating, implementing, managing and communicating on all central advising functions including student records, registration, and degrees. The position, using a broad knowledge of degree requirements; registration policies, processes, and procedures; and deep and collaborative connection to advisors, administrators, and faculty in departments, acts as a front-line resource for students navigating their degree programs, and for faculty implementing innovative degree programs and courses. Position works collaboratively with the Associate Registrar and other Registrar Advisors to analyze and implement procedures that ensure successful and transparent management of office functions and delivery of high-quality directly customer service.

Responsibilities

Student Services Support (40%)

Work directly with current and prospective Mines students, advisors, and program directors on all manner of enrollment, records, and degree topics. In this role, position must have broad understanding of institutional and programmatic degree requirements so that she/he can provide timely advice to students and faculty as they navigate the institution’s policies and procedures related to student progress toward degree, graduation, creation of new degree programs, etc. Provides assistance and advice to students with online registration, registration changes, and status updates. Enforces institutional standards but works independently to interpret acceptable variations from policy to appropriately resolve issues as they arise. Develop and implement new procedures and systems to effectively serve Mines constituents. Assist students and campus advisors with technology questions related to Registrar services.

Records and Registration Compliance Management (30%)

Primary management of student records, in accordance with FERPA, including but not limited to, transcript requests, verifications of enrollment, receipt of grades, address data entry, and ongoing academic record maintenance. Determine the processes and coordinate the records management for all active and former student files. Create optimal course schedules, update curriculum requirements, prepare and manage student registration. Coordinate the end of term grade processes; including faculty grade submissions, grade changes, and student course feedback. Review petitions for in-state tuition purposes and assist with the College Opportunity Fund (COF) stipend process.

Veterans Support Services (20%)

Support programs to assist with the enrollment, retention, and graduation of veterans, service members, dependents, and surviving members, to include building relationships with students to explain benefits, eligibility requirements, and assure compliance with the Veterans Administration rules and regulations.

Special Projects and Registrar Office Representation (10%)

Lead one-time special projects to support programs and Registrar Advisor initiatives. Attend meetings to represent the Office of Registrar with all campus partners.

Minimum Qualifications
  • A bachelor's degree from an accredited college/university.
  • 1+ years of experiences in college admissions, student advising, or systems.
  • 2+ years of technical systems experience and demonstrated ability to use systems to maintain student records and produce reporting records.
  • Demonstrated experience in processing and organizing large volume of paperwork relative to students and have solid understanding of academic processes, as well as courses and terms relevant to the institution.
  • Demonstrated experience working in identifying and utilizing data in decision making.
  • Demonstrated experience working in a fast-paced environment under the pressure of deadlines with accuracy and attention to detail.
  • Outstanding professional oral and writing communication skills.

Preferred Qualifications
  • Candidates with familiarity and/or prior work experience in an academic institutions and familiarity with accreditation agencies and federal regulations that pertain to student records are highly desirable.
  • Experience with Banner, Degree Works, and Cognos experience or related student information system.
  • Experience in multiple areas of the registrar functional areas.
  • Experience working with Veterans Benefits, College Opportunity Fund, transcript credit evaluation, graduate programs, International students, etc.

Pay Range

$50,000-$56,900

Mines takes into consideration a combination of candidate’s education, training and experience as well as the position’s scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.
