Haverford College invites applications to our available full-time (at least 37.5 hours per week), exempt, benefit-eligible Grants and Contracts Accountant in the Controller’s Office.

The Grants and Contracts Accountant will work closely with other members of the Controller’s office team, as well as partner across the Haverford College community and external agencies. This position requires a working knowledge of Generally Accepted Accounting Principles and the Uniform Guidance (2 CFR 200). It also requires the ability to establish and maintain strong internal controls.

The Grants and Contracts Accountant will be responsible for the accounting, reporting, and compliance associated with all awards (grants, contracts, and cooperative agreements) made to the College by governmental and private agencies in addition to the accounting for fixed assets.

Primary Responsibilities
  • Manage sponsored program accounts from setting up the account in Workday (the College’s enterprise system) through award closeout. Responsible for the operations of post-award administration and related accounting functions, serving as the main point of contact for the Principal Investigator (PI) related to accounting matters.
  • Review and approve the budget for all sponsored awards before proposal submission.
  • Manage the effort certification process.
  • Prepare monthly, quarterly, and annual reporting/billing, including the drawdown of funds, as required by the granting agency.
  • Monitor transactions for allowability and submit adjustments as needed.
  • Review financial reports when prepared by other campus departments to ensure the College is accurately reflecting the financial status of the award.
  • Lead the inventory process of fixed assets purchased with federal funds.
  • Lead the process for the periodic submission of the College’s Indirect Cost Proposal.
  • Complete the annual Higher Education Research and Development Survey (HERD).
  • Set up and maintain roles for internal grants as directed by the Provost’s Office.
  • Assist in setting up payroll costing allocations for employees with external funds supporting all or a portion of their salaries and benefits.
  • Prepare the annual schedule for Summer Salary requests in coordination with Payroll.
  • Perform account reconciliations, prepare cash drawdowns, and record cash receipts of financial aid funds.
  • Prepare the Schedule of Expenditures of Federal Awards (SEFA) and other information needed for the Single Audit.
  • Responsible for all fixed asset accounting, including maintaining the sub-ledger, reviewing items for capitalization, and depreciating items in accordance with College policy.
  • Coordinate with the Facilities Management Department on the set up of capital projects, including the review and analysis of open projects at year-end.
  • Prepare the fixed asset reconciliation and roll forward in addition to disclosures for the annual audit.
  • Complete the Annual Capital Expenditures Survey (ACES).
  • Ensure financial and accounting data is maintained and accurate.
  • Participate in the monthly, quarterly, and annual close process.
  • Provide support for the preparation of the College’s annual 990 filing as needed.
  • Support initiatives for the ongoing post-implementation efforts of Workday to maximize efficiencies and assist with the implementation of new or revised policies and procedures for better controls.
  • Assists with special projects and ad hoc reporting.
Minimum Qualifications (Education, Training, and Experience)
  • Bachelor’s degree in accounting, finance, or business administration.
  • Three years of relevant experience in accounting and grant administration.
  • Advanced proficiency in business applications, such as Microsoft Office; advanced Excel skills.
  • Advanced knowledge of accounting systems.
  • Ability to interpret and apply advanced accounting knowledge and understanding of Generally Accepted Accounting Principles (GAAP) and the Uniform Guidance (2 CFR 200).
  • Strong communication skills, including the ability to clearly and effectively communicate information to internal and external audiences.
  • Strong critical thinking and analytical skills.
  • Demonstrated project management skills and ability to contribute/lead as part of a multi-functional team.
  • Attention to detail, accuracy, and the ability to prioritize multiple tasks to meet deadlines.
  • Proven ability to apply knowledge to analyze and interpret business policies and external regulations and translate them into compliant and efficient accounting processes.
  • Strong customer service approach to managing work.
Preferred Qualifications
  • Experience working in higher education or other non-profit environments.
  • Demonstrated knowledge of, and experience with, ERP systems, preferably Workday.
  • Ability to observe trends in data, recommending and helping to implement solutions to increase efficiency, effectiveness, and accuracy of data.
  • Certification in Grants Management.
Line of Report

The Grants and Contracts Accountant reports to the Associate Controller and has no direct reports.

Work location : This position is eligible for a hybrid work schedule.
