Summary/Objective

The Data Management Specialist is responsible for the maintenance, quality control, data processing, and auditing of all undergraduate admissions’ electronic documents and the financial aid electronic documents for both graduate and undergraduate students.

Process, prepare and maintain all undergraduate admissions files (approximately 20,000 applications per year). Evaluate, track and process approximately 80,000 documents (transcripts, recommendations, test scores, essays, immigration forms, etc.) a year. Download, review and evaluate 52,000 financial aid documents (Fafsa, CSS profiles, student verification worksheet, tax forms etc).

Essential Functions
  1. Process and prepare admissions and financial aid files to ensure that applications and supporting documentation records are accurate. Duties include evaluating, tracking and processing admission documents financial aid documents. Conducts appropriate follow up for missing documents; searching database for matching inquiry, assess folder contents for discrepancies and/or coding errors.
  2. Input student inquiries into the CRM (ticketing system) in a timely and accurate manner in accordance with departmental objectives and procedures. Purge duplicate records, maintain accuracy of database(s), and follows departmental guidelines recording different types of inquiries.
  3. Responsible for processing documents that come through the office of enrollment and others via email accounts as attachments.
  4. Other duties as assigned.

Required Education and Experience
  • High school diploma or equivalent.
  • 1-3 years of relevant experience.
Preferred Education and Experience
  • Associate's degree or equivalent.
  • 2-4 years of relevant experience.
Additional Eligibility Qualifications
  • Computer skills and familiarity with a Windows-based operating computer environment are required.
  • Familiarity with an Electronic Document Management System and CRM preferred
  • Typing speed = 50 w.p.m.
  • Familiarity with a college and/or university setting.
  • Understanding of electronic document management, file maintenance, evaluations and document coding.
  • Accuracy and attention to detail is essential.
