    POSITION PURPOSE: Within Information Technology Services (ITS), the ITS Business Office provides support to others in ITS while furthering the overall mission of the University. The Business Office is within the Information Technology Services unit that is the central IT organization for the entire campus. The group is responsible for central administrative functions including MPP support and budget administration.

    The Accounting Technician, under the general supervision of the Associate Vice President and Chief Information Officer, and under the lead direction of the Administrative Analyst, is responsible for supporting the administrative needs of ITS through performing diverse duties involving a wide range of procedures. Responsibilities include but are not limited to journal entries, reconciliation of ITS functions, general office work, filing, preparing reports, gathering data, working with others, and solving problems for the area, and the processing of documents.

    DUTIES & RESPONSIBILITIES:

    Departmental Fiscal Support
  • Independently prepare and process departmental chargebacks, billing request forms, and work orders as needed.
  • Coordinate and process monthly reconciliation of departmental p-cards to meet and established deadlines.
  • Complete monthly departmental account reconciliations.
  • Assist with completing monthly bill payments for department.
  • Assist with budget reports, as requested.
  • Assist with the auditing of billing, as requested.

  • Administrative Support
  • Assist in day-to-day administrative operations of the department.
  • Establish and maintain a great customer service environment through all interactions (e.g., email, website, in-person) while maintaining a positive public image.
  • Work closely with students, faculty, staff, and community members to independently address questions regarding departmental services, policies, and procedures.
  • Maintain the digital filing system.
  • Process email and standard mail received by the department.
  • Draft minutes and notes or provide follow-up for items during and after meetings.
  • Responsible for coordinating, confirming, and reconciling of department travel needs.
  • Keep departmental processes on track and make sure that staff are following the process, inform Directors of issues.
  • Support other Business Office staff as needed.

  • Project Support
  • Facilitate project documentation.
  • Create work orders where needed.
  • Communicate with vendors and create requisitions.
  • Communicate with team members by facilitating meetings.
  • Take meeting notes as needed.

  • REQUIRED QUALIFICATIONS:

    EDUCATION & EXPERIENCE – Equivalent to three (3) years of progressively responsible financial record-keeping experience which has provided the required knowledge and abilities. A combination of education and experience which provides the required knowledge and abilities may be considered.

    SKILLS, KNOWLEDGE & ABILITIES (SKA's) –
    • Regular and reliable attendance is required.
    • General knowledge of General Accounting Procedures.
    • Ability to apply accounting procedures and practices to the analysis of basic accounting problems.
    • Thorough knowledge and experience with financial record keeping, query tools, integrated financial systems, and records management systems.
    • Ability to analyze and interpret accounting data and apply problem solving techniques in finding solutions to basic accounting problems.
    • Intermediate understanding and ability to apply applicable rules, regulations, policies, and procedures.
    • Ability to make sound decisions and recommendations regarding accounting activities.
    • Ability to enter data by keyboarding approximately four to six hours per day.
    • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
    • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
    • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
    • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
    • Thorough knowledge of English grammar, spelling and punctuation.
    • Ability to interpret, communicate and apply policies and procedures.
    • Ability to maintain a high degree of confidentiality.
    • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
    • Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
    • Working knowledge of or ability to quickly learn University infrastructure.
    • Possesses a customer-oriented and service-centered attitude.

    PREFERRED QUALIFICATIONS: Demonstrated skills in an institutional/educational environment.

    PHYSICAL DEMANDS: SEDENTARY WORK – involves mainly sitting; minimal walking and standing; lifting light weight objects limited to 15 pounds.
