    POSITION PURPOSE: Under the general direction of the Assistant Athletic Director for Academic Services within the CSUB Athletics – Kegley Center for Student Success department, the Athletic Academic Advising Coordinator both advises students and provides leadership for the day-today operations of the departments advising/academic support center for student-athletes. The incumbent trains advising staff, provides daily oversight and coordination, and manages and trains student assistants. The coordinator acts as the point person for other key offices including certification team, department chairs, advising centers, enrollment management, and tutoring, etc. The incumbent works with the Assistant Athletic Director for Academic Services to develop and implement initiatives in support of student success, as needed. Both in advising students and in the roll as coordinator, the coordinator is expected to contribute to a culture that empowers student-athletes to chart their path successfully and independently to academic success.

    DUTIES & RESPONSIBILITIES:

    Academic Advising
    • Provide communication to assigned student athletes through one-on-one appointments, daily electronic communications, phone calls, and academic advising sessions.
    • Participate in orientation and other advising and student success events as assigned.
    • Monitor academic progress of assigned student-athletes based on NCAA Division I Academic regulations and create plans in advance to ensure eligibility and timely graduation.
    • Instill a culture of student empowerment to determine his/her own academic path and take ownership of, and responsibility for, his/her progress. Challenge him/her to evaluate and understand his/her academic record, academic and athletic implications, and responsibilities, and to set goals that ensure timely completion.
    • Empower students to interpret university, college, and program level academic policies and procedures.
    • Meet with students as needed in order to support them providing a supporting and approachable environment.
    • Educate student-athletes about campus resources such as advising centers & processes, tutoring, student health and counseling, financial aid - and refer students as needed.
    • Maintain student files, including Progress Towards Degree Charts, to accurately reflect advising session interactions and progress on or toward degree completion.
    • Analyze and record data, participate in student success initiatives, and take on other projects in support of student advising and success as assigned.
    • Effectively utilize CSUB systems of data, communication, and advising tools (e.g. Runner Connect, Arms, PeopleSoft, Microsoft Office, Box, etc.)

    Coordination of the Kegley Center for Student Success (KCSS)
    • Serve as lead in the Advising Center and provide lead direction to Advising staff; train and supervise student assistants.
    • Coordinate caseload and advising assignments; conduct regular unit meetings as well as one-on-one meetings with staff as needed.
    • Monitor advisor workloads and create schedules, serve as department timekeeper.
    • Create timelines, procedures, and materials for advising students. Assess and modify processes and materials to maintain a quality experience for student-athletes.
    • Develop and implement on-going training for staff as needed to ensure accurate, current, and high quality advising, understanding and application of NCAA Division I academics rules, and student supports.
    • Serve as the liaison for other key offices including Certification team, department chairs, enrollment management, faculty, advising centers, and other areas on campus.
    • Work with the Assistant Athletic Director for Academic Services to develop and implement initiatives in support of student success, eligibility, and retention as needed. Provide lead direction to advisors on student success initiatives and NCAA/Big West updates.
    • Plan and organize advising center events such as orientation, advising, academic programming, etc.
    • Establish effective forms of communication and supervision for academic staff, which include regular email updates, reports, and in-person weekly meetings.
    • Provide guidance and leadership to academic staff on individual and group sensitive and complex situations pertaining to student athletes' academics and eligibility.
    • Participate in providing input to yearly evaluations of staff and lead the hiring process when necessary.

    REQUIRED QUALIFICATIONS:

    EDUCATION & EXPERIENCE – Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related and three (3) years of progressively responsible professional student services work. A Master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A Doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three (3) years of experience for positions with a major responsibility for professional career or personal counseling.

    SKILLS, KNOWLEDGE & ABILITIES (SKA's) –

    • Ability to develop and evaluate policies and programs, including collection, evaluation, and interpretation of data and information from a wide variety of sources to develop sound conclusions and make appropriate recommendations to Athletics Director.
    • Ability to provide analytical information/data to other offices, academic departments and agencies as needed.
    • Analyze problems of program‑wide scope encompassing many major program elements and possessing considerably more breadth than normally would be present in situations involving individual and/or all student-athletes.
    • Ability to apply independent judgment, discretion, and initiative in performing job duties.
    • Ability to effectively lead and provide direction to staff members under direct supervision.
    • Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus.
    • Ability to analyze campus, NCAA, and conference policies, program proposals, and their indirect/direct impacts on the student-athlete population from a practical perspective and make recommendations as appropriate.
    • Ability to independently plan and organize work requirements and tasks to be accomplished, determine work priorities, select desired methodology from alternative approaches, handle unusual situations without direct advice or instruction
    • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
    • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
    • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
    • Excellent communication skills: ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.

    • Working knowledge of or ability to quickly learn University infrastructure.
    • Must be willing to travel and attend training programs off-site for occasional professional development.
    • Must be able to work occasional holidays and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
    • Candidate must be committed to the adherence of NCAA rules and regulations.

    PREFERRED QUALIFICATIONS:
    • Master's Degree in a job-related field is preferred and may be substituted for one year of professional experience.
    • Professional experience in working with student-athletes, education plans, and NCAA Division I academic rules and regulations.
    • Prior knowledge and use of PeopleSoft and OnBase or other student records database systems desirable.
    • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

    PHYSICAL DEMANDS: LIGHT WORK – involves mainly sitting, up to 25% standing or walking; lifting medium weight objects limited to 25 pounds.
