ANTICIPATED HIRING SALARY RANGE: $110,000 - $125,000 - However, salary will be commensurate with candidate's experience, education, skills, and training.

POSITION PURPOSE:

Under administrative direction of the Library Dean, the Associate Dean of Libraries assists the Dean of Libraries in providing administrative leadership to the Walter W. Stiern Library and staff. The Associate Dean organizes and oversees library operations which involves application of library knowledge, personnel management and technology skills to guide clerical, technical and professional staff to work towards goals and objectives.

DUTIES & RESPONSIBILITIES:

A. Functional Oversight of Library Operations
  • Assist the Dean with overall administration of the Walter W. Stiern Library Services department consisting of: Access Services, Acquisitions, Billing, Cataloging, Course Reserves, Database Management, Circulation, Electronic Resource Management, Resource Sharing, Serials and Stacks.
  • Serves as the primary Library Administrator in the absence of the Dean.
  • Advocates for Library initiatives, services, and partnerships by developing strong relationships with University faculty and Administrators.
  • Works in collaboration with internal and external customers (students, faculty, staff, and community) to fulfill the library's mission.
  • Acts as a front-line person for communicating and enforcing library polices, guidelines, and procedures to support library operations and participates in the development of a shared vision for the Library that contributes to the mission of the University.
  • Represents the Dean on various committees and at university functions as requested by the Dean.
  • Collaborates and works closely with the Library Dean, Budget Analyst, and Librarians in monitoring library material operating budgets and expenditures and approving and accepting gift donations.
  • Accountable for money collection from business transactions, including balancing receipts, preparing cash deposits, and managing audits.
  • Assists with student related financial account issues related to Library charges.
  • Collaborates with professional MLIS (Master of Library and Information Sciences) academic librarians.
  • Responsible for Library security, overseeing routine drills and evacuations as well as working with safety personnel, as needed, to ensure safety and security for staff, students and building.
  • Keeps up to date and consults with the Dean on union contracts concerning Library staff.
  • Provides support for Library faculty-related searches and recruitments.
  • Interacts with various divisional offices and departments, such as Academic Affairs, Faculty Affairs, and Facilities Planning.
  • Provides leadership for space planning and works with Library staff and stakeholders to proactively plan for space changes in the Library.
  • Anticipates, initiates and responds to changes in the environment, and keeps abreast of trends that impact higher education and the library profession to ensure that the Library and the University achieve their goals.
  • Responsible for collecting counts and reporting the number of people who enter the library.
  • Coordinates reporting to external agencies, such as, IPEDS, Association of College & Research Libraries (ACRL) statistics and required CSU Chancellor's Office statistics.

  • B. Management/Leadership
  • Manages and leads Library Services staff and student assistants through facilitating an environment that motivates, empowers, and inspires commitment from employees while sustaining a diverse and inclusive workforce.
  • Identifies and resolves issues at the peer level. Takes measures to mitigate future issues.
  • Supports and encourages professional and career development for employees.
  • Ensures cross-divisional support and participation.
  • Provides supervision and manages work schedules ensuring effective coverage of Library functions during business hours. Hires, evaluates, trains, and recommends disciplinary action and dismissal of staff and student assistants (in adherence with collective bargaining agreements), if necessary, to ensure smooth operations of established policies.
  • Ensures additional support for Library events, during, before and after hours.
  • Determines, effectively allocates, and coordinates resources.
  • Coordinates strategic initiatives.
  • Builds effective teams committed to organizational goals through coaching, performance management, and mentoring.
  • Understands what issues require a "sense of urgency" and handles accordingly while working with Dean as necessary.

  • C. Strategic Planning
  • Acts as a strategic partner in recommending, creating, and implementing long and short-term goals and operational plans in collaboration with the Library's faculty and staff.
  • Ensures Library/Academic Affairs goals align with and support the overall mission of the University.
  • Motivates and encourages commitment to achievement of strategic plans while communicating strategic initiatives.
  • Assists in accomplishing strategic goals for the Library.

  • D. Community/University Partnership
  • Identifies and anticipates community needs and builds effective, strategic alliances internally and externally.
  • Collaborates with business partners in the achievement of University goals that support the University's mission.
  • Actively solicits and acts upon feedback through developing and implementing solutions.
  • Gains support and commitment from others through successful negotiating, persuasion, finding common ground, and relationship building.
  • Attends meetings and events as needed.
  • Works with the Dean, Library Administration staff, and University Advancement staff on alumni relations, community relations, and fundraising projects.
  • Solicits and influences internal and external support.

  • REQUIRED QUALIFICATIONS:

    EDUCATION & EXPERIENCE –
    • Master's degree in Library and Information Science (ALA accredited) or its equivalent plus five years of progressively responsible work experience in academic libraries, which includes a minimum of three years supervising the work of others.
    • Record of accomplishment sufficient to achieve tenure at the rank of Associate Librarian/Librarian.
    • Work experience in an academic setting, ideally Public Higher Education.

    • Ability to collaborate with multiple entities to plan and accomplish the objectives set forth in the university's strategic master plan, coordinating ongoing multiple large and complex projects from conception to completion in a centralized and highly regulated environment.
    • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
    • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
    • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.

    • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

    PHYSICAL DEMANDS: LIGHT WORK – involves mainly sitting, up to 25% standing or walking; lifting medium weight objects limited to 25 pounds.
