Job Summary
In pursuit of its mission to provide exemplary service to the University of Wisconsin-Milwaukee, this position manages a vast array of administrative duties to keep the office operating smoothly and efficiently including managing the calendar for the Chancellor. This position has extensive contact with UWM personnel, UW System personnel, Board of Regents, donors, and all other relative constituents. The incumbent works under the direction of the Chancellor and Chief of Staff to the Chancellor and maintains utmost confidentiality and discretion in performing the work under general supervision.

Job Responsibilities Include:
  • Schedules logistics for meetings, conferences, and travel and organizes schedules for the Chancellor, Chancellor's Chief of Staff, or President
  • Compiles, screens, and evaluates correspondence and reports and recommends actions
  • Serves as public relations liaison between the Chancellor or President's office and other UW Madison and UW System departments and offices, and with the public to resolve problems and provide information involving complexity and sensitivity
  • Organizes and executes special projects; analyzes, assembles and obtains information for the Chancellor and Chancellor's Chief of Staff
  • Manages the organization, auditing, security, and confidentiality of records and files
  • May monitor budgets or review and approve expenditures


Minimum Qualifications
Minimum Qualifications:
  • Experience as an executive administrative support professional, providing support to a high level executive (i.e. Dean, Chancellor, Director, CIO, CEO)
  • Experience using common business productivity software and applications (e.g., word processing, spreadsheets, databases, presentation software, electronic calendars, etc.)
  • Organizational skills, as evidenced by experience organizing the work of others with a high attention to detail (e.g., organizing and prioritizing multiple or complex projects, managing multiple schedules and deadlines, etc.)
  • Evidence of individual initiative and excellent independent time management abilities to perform multiple and concurrent tasks in a fast-paced work environment
  • Evidence of the management of sensitive and confidential matters that retains a relationship of trust


Preferred Qualifications

  • Bachelor’s degree
  • Demonstrated ability to work and collaborative with faculty, staff, and students, and across university organizational lines
  • Extensive knowledge about UWM and UW System well as governance principles, policies and procedures
  • Evidence of experience working with financial/accounting, procurement, accounts payable, expense reimbursement, and recruiting/hiring software applications, forms, processes
  • Experience supervising or leading a team
