We are seeking a Project Specialist who will be working in the School of Medicine Office of the Dean/CEO will support the Chief of Staff and Executive Operations Manager by providing administrative and project management support to ensure the success of activities in the office. Reporting to the Executive Operations Manager, the incumbent will regularly engage with internal stakeholders, set priorities, track deadlines, and support decisions based on the needs of the Dean’s office team. The ideal candidate must demonstrate a high degree of accuracy, initiative and be detail oriented.


Specific Duties & Responsibilities

  • Ensure the completion of key deliverables on assigned projects.
  • Draft documents and communications products, including letters, reports and reviews, with the guidance of the Executive Operations Manager.
  • Provide coordination, project management and administrative support to the Office of Dean/CEO.
  • Serve as the project manager on complex mission-based projects across the Dean’s Office. Projects may be stand-alone or inter-related with other initiatives within the School of Medicine.
  • Responsible for facilitating the success of assigned projects. Define, document and consolidate the requirements from accountable leaders and work groups, delivering high quality. deliverables, such as workflow diagrams, policies and procedures, project timeline documents and throughput reports.
  • Organize, prioritize, and track the developmental progress of assigned projects to ensure that project requirements and other project goals are met.
  • Maintain all files and data entry for assigned projects.
  • Support administrative workflows as needed to optimize daily operations of the administrative staff within the Office of the Dean/CEO, while promoting a culture of efficiency, communication and teamwork.
  • Facilitate communication with key stakeholders on collaborative projects, meetings and events.
  • Provide administrative support and coordination to ensure success of the School of Medicine departmental and programmatic reviews.
  • Provide coordination and support for special projects as designated by the Chief of Staff and Executive Operations Manager.
  • Support the development and execution of sustainable processes for the Office of the Dean/CEO, including opportunities for document storage and modernized operational efficiencies.
  • Provide administrative support for the Executive Operations Manager in serving as the School of Medicine representative for community activities (Ex. United Way, Heart Walk, various planning committees, etc.


Minimum Qualifications
  • Bachelor's Degree in a related discipline.
  • Three years related experience.
  • Strong attention to detail and accuracy.
  • Additional education (Master's level) may substitute for required experience, to the extent permitted by the JHU equivalency formula.

  • Must have proven aptitude with the use of Microsoft Office applications.
  • Must be able to effectively interact with colleagues at all operational levels.
  • Must have the ability to maintain confidentiality at all times.
  • Must be self-motivated and able to work independently in a complex business environment.
  • May be needed to work flexible hours at times, based on project needs.

  • Must be able to perform the essential functions of the job.

*JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
