Primary Purpose of Organizational Unit

The College of Arts and Sciences ( CAS ) is the largest academic unit (enrollment of approximately 5,800 students) within the division of Academic Affairs. As the academic core of UNCW, the college engages students in a transformational education through free inquiry and the open exchange of ideas that celebrates all forms of diversity. By fostering critical thinking, creativity, and adaptability through the integration of transdisciplinary research, applied learning, and community engagement, the college prepares individuals for meaningful and ethical civic engagement in a globalized society; provides a strong foundation in knowledge and skills necessary to flourish in our professional and personal endeavors; and creates and disseminates knowledge and expression in the arts, humanities, natural sciences, and social sciences to enrich the world and address the concerns of our community and beyond. The college consists of the dean, four associate deans, one assistant dean, and five support staff; 441 full-time faculty, approximately 292 part-time faculty, and 75 staff and academic professionals in twenty-two departments, three programs (Pre-Engineering, Graduate Liberal Studies, and Interdisciplinary Studies), and a center (Gender Studies and Research Center). CAS offers 43 undergraduate degree programs, 60 minors, 12 pre-professional programs, 25 master’s degree programs, and two doctoral programs. Additionally, the college services the majority of the university studies courses and provides academic concentrations for undergraduate and graduate education majors, some of the required courses for business and nursing majors, and many of the distance learning and extension courses offered through the Office of Continuing and Professional Education, and most of the study-abroad courses, freshman seminars, and freshman and sophomore Honors Scholars courses offered through other academic units in the division.

The CAS Academic Resource Center supports student success by providing advising, academic, and applied learning resources. The Office of the Dean of the College of Arts and Sciences is the administrative unit which has oversight of each department’s programs’ undergraduate and graduate curriculum, degree requirements, academic and support personnel, and operating budget. To this end, it oversees all CAS curricular changes recommended for inclusion in the university’s undergraduate and graduate catalogs, allocates all teaching positions and approves all full-time and part-time hires, approves work plans and reviews annual evaluations for all SHRA personnel in the college, approves merit salary increases for all EHRA in the college, oversees the use of improvement of all college facilities, and allocates all state and trust funds received by the college to the departments and offices under its oversight.

The Dean serves as an integrative platform that provides administrative support and oversight for all units within the College. In addition, the Office of the Dean coordinates a common support model that facilitates operational services, technical support, business services, support for research, marketing, advancement, and support for community engagement across CAS units.

Brief Summary of Work for this Position

The Executive Assistant provides support and assistance to the Associate Dean’s within the Office of the Dean of the College of Arts and Sciences, performs receptionist duties, and provides general office support. Confidentiality and discretion are of utmost importance.
Primary duties include:
  • Managing access to and scheduling meetings for the CAS Associate Deans.
  • Serving as a liaison between Dean’s Office and CAS Departments and Programs
  • Interacting and communicating with faculty, staff, students, and the greater community
  • Serving as the primary leave keeper for the College
  • Performing other duties as assigned related to the vision, mission, and purpose of the College.
  • Coordinating the application and review process of CAS Faculty awards through InfoReady
  • Assisting with CAS events
  • Assisting with special projects as needed
Minimum Education and Experience Requirements

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

  • Ability to quickly, competently, and professionally organize a myriad of factors, including personalities into a cohesive and useful output
  • Ability to communicate clearly and, succinctly both verbally and in writing
  • Ability to quickly grasp new and complex processes and issues

  • A basic knowledge/understanding of the administrative operations in Higher Education
