POSITION SUMMARY
Coordinate the processing and distribution of interdepartmental and United States Postal Services (USPS) mail in accordance with established procedures and Federal postal regulations. Coordinate the sorting, weighing and metering of outgoing mail, ensuring all mail adheres to applicable Federal postal regulation. Provides information concerning rates and most efficient and economical means of mailing materials. Assists in the Print Services operations.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
1. Coordinate mail center personnel including scheduling and assigning work.
2. Pickup of USPS morning mail Monday through Friday; sort incoming and outgoing USPS mail and packages
3. Deliver mail to Main campus using mail carts and deliver mail to extended campuses using the Mail Center van.
4. Seal and prepare mail and interoffice mail for delivery, to include weighing, calculating and affixing correct postage and zip code.
5. Train new personnel as needed in mail and print services operations,
6. Act as agent for receipt of certified mail, return receipt mail, registered, and express mail.
7. Maintain required JJC and USPS mail records, files and databases; return spoiled postage to USPS for refund.
8. Remain current on postal rules and regulations and inform personnel. Post legal notices and report suspicious packages and letters to campus police and USPS officials.
9. Assist college personnel with USPS mail questions and preparation of department generated mass mailings according to postal regulations for a timely delivery to post office. Assist mail center staff with the preparation of department generated mass mailings.
10. Maintain mailroom equipment; (including, but not limited to, postage machine, folding/inserting machine, postage scale, high-speed folding machine) contact repair personnel for maintenance and repairs.
11. Manage Inventory and order various supplies from post office: USPS envelopes, shipping supplies, labels, postal forms, and to be used for JJC business. Order FedEx supplies.
12. Maintain USPS postage and FedEx usage records to back charge various departments for postage.
13. Sell stamps. Maintain a balanced USPS stamp stock and cash drawer per postal regulations and assist postal auditor with annual station audit.
14. Maintain adequate supply levels of USPS postal stamps, order as needed and make regular deposits with the post office.
15. Assist print services operations as needed.
16. Perform related duties as assigned.

MINIMUM QUALIFICATIONS
1. High school diploma or equivalent, plus some additional specialized training.
2. Ability to lift and move on a regular basis mail containers weighing up to 50 pounds.
3. Ability to operate postal equipment, scales and common office equipment.
4. Strong personal computer skills and a working knowledge of Microsoft Office Suite for Windows.
5. Knowledge of handling mail, mailroom procedures, and postal rules and regulations.
6. Knowledge of print service operations.
7. Excellent verbal and written communication skills.
8. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.

PREFERRED QUALIFICATIONS
1. Three (3) years of post office/college mail center experience or a combination of training and experience.
2. Supervisory experience.
3. English and Spanish verbal and written communication proficiency.
4. Demonstrated multicultural competence.

PHYSICAL DEMANDS
1. Ability to lift mail bags, packages and sacks, trays and tubs of mail weighing up to 50 lbs.
2. Must bend, stoop and kneel frequently.
3. Must be able to spend a large part of the day standing up and moving around.

WORKING CONDITIONS
1. Duties are performed indoors in the usual post office environment.
