Overview
The Center for Digital Humanities at Princeton (CDH) is an interdisciplinary research center that brings together faculty, staff, students, and community partners working at the intersection of the humanities and technology. The CDH creates and applies digital tools to humanistic questions and critically engages with the promises and risks that technology poses to society. the CDH's Events and Office Administrator (EOA) is the administrative engine that brings faculty, staff, students, and partners together to learn more about digital humanities. This individual will oversee events including, but not limited to, departmental functions, special visitors, workshops and conferences. They will work with various university departments and off campus vendors to organize events. The EOA will also provide administrative support for the CDH and be responsible for essential functions. The position requires strong communication skills, and the ability to complete complex assignments quickly, independently, and proactively. The Events and Office Administrator must have superior organizational skills and be able to manage and prioritize multiple, simultaneous projects and tasks. They will need to demonstrate a high degree of professionalism, use sound judgment, maintain confidentiality, and be flexible as demands and priorities change.
Responsibilities
-
Maintains, tracks and orders
supplies for the Center through Marketplace.
Maintains and updates
departmental information including the CDH calendar and flexible
work arrangements.
Represents CDH at the Library
Administrative Assistants’ monthly meetings as well as the Library
Events Coordinators’ meetings.
Maintains CDH’s space with a high
degree of care, keeping track of office supplies and submitting
work orders for maintenance and repairs.
Assists with CDH grants intake
process (e.g., creating evaluation sheets, uploading
applications).
Assists with candidate searches
(e.g., creating evaluation sheets, uploading applications).
Plans and executes all logistics
for special events, workshops and seminars including creating
budgets, booking rooms, facilitating guest travel, catering,
advertising, and technology set-up.
Manages event budgets using PRIME
financials/Concur and completes all fiscal transactions.
Plans and executes logistics for
internal CDH events and activities (e.g., retreats, team-building
activities, special occasions, swag).
Works closely with CDH
communications team on event publicity/promotion (digital and
physical).
Monitors/ensures compliance with
Princeton University’s policies and procedures such as: best fiscal
practice/allowable expenses, travel arrangements, and health and
safety protocols.
In conjunction with CDH’s
Computing Support Specialist, provides tech support for in-person,
remote, and hybrid events.
Updates information on the CDH
website.
Maintains archives of CDH
documentation (physical and digital) related to general
administration.
Manages the undergraduate
assistants -- writing and placing ads to recruit applicants,
allocating and managing projects.
Qualifications
ESSENTIAL: Strong organizational skills and the ability to prioritize multiple tasks and work independently in a fast-paced environment, with careful attention to detail. Excellent oral and written communications skills. Ability to communicate effectively with a broad set of “customers” including staff, departments within the university, visitors to the department, and outside vendors. Inter-personal skills that are reflected in a professional manner and the ability to work collaboratively with a diverse group of individuals. Excellent written and verbal communication skills. Time-management skills.
PREFERRED: Bachelor’s degree. Knowledge of PRIME, Concur, PeopleSoft, Microsoft Office applications, as well as collaboration and communication software used by CDH, such as Google Drive, Slack and Asana.
