About the Opportunity

The Administrative Coordinator will provide high level of administrative support to the VP of the Innovation Campus at Burlington, MA (ICBM) and the Sr. Director of Administration, Finance, & Planning on the ICBM. Duties include being the face of the campus to internal and external stakeholders at the reception desk, calendar management for VP and Sr. Director, arranging meeting logistics, managing and troubleshooting meeting technology, maintaining office supplies, tracking small office electronics inventory and ordering as needed, and completing VP and Sr. Director expense reporting in accordance with university protocols. The Administrative Coordinator will organize or assist with campus events, including the monthly Lunch & Learn and workshops, conferences, and seminars as required. He/she serves as the go-to person and acts as a resource to others in the resolution of problems.

This position is in a fast-paced environment and requires strong organizational skills, with the ability to manage/prioritize multiple projects. The successful candidate will have excellent interpersonal communication skills and a customer service focus in interacting with high-level visitors both internal and external to the university. This individual must be self-motivated, able to prioritize and manage workload independently, possess good time management skills, be proficient in Microsoft Office suite including TEAMS and have the ability to learn new software as needed. He/she must have the ability to work with confidential information using good judgment and discretion at all times.

  • Bachelor's degree
  • 2+ years of successful high-level support
  • Strong organizational skills with excellent time management
  • Excellent verbal and written communication skills with a customer service focus
  • Highly organized and detail oriented; and ability to problem solve effectively
  • Strong computer and IT skills, especially in MS Office suite products, and ability to learn new programs/systems with ease
  • Must be able to handle sensitive material, maintain highest level of confidentiality, set priorities and work independently and as part of a team

Preferred Qualifications:
  • Familiarity with higher education and a research environment
