Position Purpose

In collaboration with appropriate faculty and Geisel/ DHMC staff, acts independently to plan, manage, and coordinate all aspects of NCCC conferences and events for the scientific community and for the public, with the exception of fundraising activities and events.

Description

Plans and coordinates conferences and events to support the educational, research, and clinical activities of the cancer center.

· Familiarity with PC computer hardware and presentation software.

Key Accountabilities

Description

Program Development

· Manages educational activities held under the auspices of Norris Cotton Cancer Center—e.g., Cancer Center Grand Rounds, Basic Science Seminars, Clinical Conferences, and more. Manages all logistical arrangements for such lectures and events.

· Manages Continuing Education in the Health Sciences in developing defined Cancer Center educational activities—e.g., Grand Rounds, Tobacco Cessation Series, C. Everett Koop Conference, and many other educational events.

· Plans, and manages events for the public, such as Cancer Survivors Day and cancer specific events like the breast health education evening and accommodates representation by local and regional cancer advocacy organizations.

· Chair’s activities of NCCC event-planning committees leading the development of and adherence to an action plan. Develops and monitors production timeline system for conferences and events. Develops and oversees registration processes and procedures for conferences and events.

Description

Facilitation and Coordination

· Manages the organization of Cancer Center events for the scientific community. Ensures the coordination with faculty and administrative staff to handle all logistical arrangements for local, regional, national, and international scientific meetings held under the auspices of Norris Cotton Cancer Center.

· Manage committees for large conferences.

· Organizes and supervises all logistical arrangements for special lectures, such as the David B. Kaner Memorial Lecture, Marilyn Bedell Distinguished Lecture in Oncology Nursing and the C. Everett Koop Distinguished Lecture.

· For all lectures and events involving visiting speakers, communicates and coordinates with speaker, overseeing arrangements (including travel) for their visit. Work’s with administrative leadership and faculty to optimize speaker contacts and to develop speaker’s itinerary. Prepares and distributes information packets for speakers and meeting participants. Prepares and distributes announcements, including a brief speaker biography that can also be used by host during introduction.

· Collaborates with the NCCC Director of Marketing and others as appropriate to ensure effective promotion of NCCC events organized by this position.

· Supports annual or more frequent meetings of the National Cancer Institute review committees., organizing all logistical details of scheduling, transportation, facilities, meals, lodging, honoraria, and the like.

· Provides technical support for the External Scientific Advisory Board of the Cancer Center and other events as needed.

· In conjunction with the Associate Director for Cancer Research Training and Education Coordination, manage CAREER review process of investigators grant proposals. Record and edit the committee’s feedback and distributes to the investigators in a timely fashion.

Budgeting and Finance

· Develops budget projections, identifies potential funding sources, and executes funding requests, negotiates formal contractual arrangements, and ensures the timely confirmation of and payment for equipment and services.

· Communicates with representatives of community, pharmaceutical industry, and local and regional businesses to obtain financial and in-kind support for events as appropriate.

Description

Accreditation Coordination

· Oversees with the Center for Learning and Professional Development the comprehensive and accurate handling of Continuing Medical Education credits. Prepares applications for CME / CNE credit including writing goals and objectives of events; handles annual reporting; ensures adherence to CME / DHMC protocols; ensures speaker/attendee documentation and prepares and distributes attendance certificates.

Supervision and Training

· Coordinates and manages community volunteers engaged in support of NCCC Community events. Supervises assigned administrative staff on their work in support of Scientific Events.
