CONTEXT OF JOB: Under the general direction of the Department Chair and in coordination with the Graduate Program Directors the Graduate Services Coordinator provides comprehensive support for the Department of Medical & Molecular Sciences (MMSC) graduate programs including Medical Sciences (MS), Medical Sciences (PhD), Medical Laboratory Science (MS), Applied Molecular Biology & Biotechnology (MS). The Graduate Services Coordinator manages the day-to-day operations of the department's graduate programs including recruitment, admissions, program administration, affiliation agreement administration, and alumni and donor relations.

MAJOR RESPONSIBILITIES:

Recruitment and Admissions
  • Serves as the initial contact for prospective graduate students who inquire about MMSC graduate programs; answers questions accurately and completely and refer prospective students to appropriate faculty members as needed for further information.
  • Leads recruitment and multi-media recruitment efforts. Assures the dissemination of and access to accurate information about the department's graduate programs to potential students by coordinating the design and content of recruitment publications, assists in the development of the department's graduate web presence and online resources for potential students.
  • Manages the graduate admissions process and provides support to Graduate Committees.
  • Provides and tracks information to newly admitted students including initiation of offer letters, contractual agreements, funding forms, and program information letters.

Program Administration of MS and PhD Programs
  • Assigns graduate students to graduate working space; arranges access (keys) for departmental community and maintains a key tracking database
  • Assists students with graduate course enrollment.
  • Organizes and assists in the execution of summer orientation week for new and returning graduate students including department and university level training.
  • Schedules monthly Graduate Committee meetings (secure room/send electronic calendar appointment). Plans agenda, solicits additional agenda items from graduate directors, and completes and distributes meeting minutes.
  • Manages operational aspects of the departmental graduate programs to ensure student progress toward degree completion.
  • Identifies and promotes graduate student professional development opportunities and job postings.
  • Coordinates applications for graduate awards and compiles and disseminates award information to program Graduate Committees for review.
  • Promotes scheduled thesis and dissertation defenses to the Department.
  • In consultation with Graduate Program Directors, serves as liaison with representatives of the Graduate College and Graduate Services Network regarding graduate student policies.
  • Prepares annual program assessment reports indicating achievement of relevant learning outcomes, placement of students, graduation rate, and changes made to improve the program.
  • Conducts post-graduation surveys and maintains post graduate statistics.

Alumni and Donor Relations
  • Coordinates and further develops alumni and donor relations activities.

Department Administrative Responsibilities
  • Assists with planning and coordinating events, meetings, lectures, workshops, etc. (e.g., Academic Program Review, Affiliates Meetings, Laboratory Professionals Week, etc.).
  • Department UDX Shopper and Requester for departmental and class lab supplies, equipment, maintenance and contracts.
  • Facilitate communication of information to OCM to be used in updating the departments social media accounts and web content.
  • Organize and maintain files (including confidential files); maintains, updates and reviews reference material and manuals and manages record retention process ensuring compliance with university procedures.
  • Composes complex letters and/or memoranda.
  • Performs miscellaneous job-related duties as assigned.

QUALIFICATIONS:
  • Bachelor's degree with three years of related experience, or an equivalent combination of education and experience.
  • University experience is desirable.
  • Extensive knowledge of office practices and procedures.
  • Ability to make independent decisions and judgments in keeping with the level of the position.
  • Ability to plan, prioritize, balance, and review a variety of projects that must be completed simultaneously and on time.
  • Ability to contribute to the departmental environment that focuses on diversity, equity, and inclusion and to maintain a positive and collaborative work environment.
  • Ability to use advanced techniques in word processing, spreadsheet, database, webpage, and presentation software.
  • Ability to utilize a variety of media platforms.
