Job Description Summary
The Program Coordinator will provide the highest level of administrative support to faculty, staff, and program participants of Penn Dental Medicine's Center for Integrative Global Oral Health (CIGOH). This position reports to the Executive Director of CIGOH and is responsible for coordinating all program materials and initiatives of the Center, which include international symposia and a Master degree program. The coordinator will be the primary point of contact in fielding stakeholder, student and participant inquiries, providing continuous communication for the Center and its programs. The coordinator will work with the Executive Director and faculty of the Center during program planning and will work with the highest level of professionalism in an independent, self-directed manner. Coordinator will compete tasks in accordance with standard operating procedures to ensure a seamless, high-quality program/Center delivery.
Job Description
Job Responsibilities
- Administrative Support: This positon will manage the day-to-day operations of the Center and provide direct administrative support to the Executive Director as well as multiple faculty within the Center. This includes but not limited to calendar management, travel planning and travel reimbursements, minute taking at meetings, managing databases, purchasing office supplies; coordinating programs and events, including scheduling, catering, preparing meeting materials and set-up as needed. Process visas for incoming faculty recruits and travel visas for Center faculty attending international symposia, etc. - 30%
- Event Planning & Center Initiatives: Coordinates event planning including the scheduling, planning and execution of conferences, symposia, programs, and high-level meetings - both international & domestic. Supports the Center's operations, strategic initiatives, and projects including the Master of Science in Oral & Population Health; coordinates special projects related to the Center as needed- 30%
- Program Administration: Serves as the Program Coordinator for the Master of Science in Oral and Population Health. This includes coordinating schedules with faculty and students, coordinating the recording of lectures and practical activities, circulating evaluations and surveys, completing documentation of students' progress, and triaging students' in technical or administrative difficulties. - 30%
- Communication: Responsible for communicating and distributing information for the Center, including project documentation/proofreading, information tracking, and reporting; developing and maintaining communications, fielding inquiries, and guiding internal and external constituents to Center resources, prospective and enrolled Master degree students. - 5%
- Record Retention: Manage departmental records, meeting minutes and database of program initiatives and materials. - 5%
- Other administrative duties as assigned. - 5%
The Program Coordinator will join an interdisciplinary team of dentists and faculty with deep experience in their fields. This is an ideal position for an individual with a high degree of initiative seeking experience in a fast-paced, entrepreneurial environment and exposure to global oral health innovation.
Project management/coordination, execution, follow-through, extensive program planning and administrative support expertise is required. The position also interacts with senior administrators at the school and university, prospects, donors, faculty, alumni, board members, and senior government and corporate executives.

- Bachelor of Arts and 2 to 3 years of experience or equivalent combination of education and experience is required.
