Job Description Summary
Penn Dental Medicine's Department of Endodontics seeks a Coordinator to provide administrative support, coordinate faculty affairs initiatives, and perform curriculum/student support as needed.
Job Description
The Coordinator for the Department of Endodontics will provide diverse and complex support for the Chairman, Faculty, Staff and Students of the department, including the following:
Duties and Responsibilities
ADMINISTRATIVE SUPPORT
- Manage all correspondence for the Endodontics Department with internal and external constituents, serving as central point of contact and coordinator for department activity. Draft and proofread routine and complex correspondence; maintain and disseminate information - both confidential and non-sensitive - with care and discretion, utilizing social media sites when appropriate. Provide documentation, handouts and announcements for students, faculty and staff.
- Manage department calendar and scheduling of lunch seminars, annual faculty and graduation dinners, business meals, catering, and other events. Reserve event/meeting spaces and place catering orders. Provide administrative support to Department Chairman, program directors, department faculty, residents, and staff members.
- Coordinate and maintain Chairman's calendar, including scheduling appointments and meetings.
- Coordinate compliance with University and School requirements (e.g. vaccinations, trainings, etc.)
- Process dossiers for faculty appointments, reappointments, and promotions.
- Register department visitors for onsite access, coordinate shadowing program.
- Purchase and maintain department office supplies including specialty administrative material related to clinics, machines, etc.
- Create purchase orders (POs), book travel arrangements, complete expense reimbursements, and process Purchasing Card receipt documentation. Review monthly budget reports.
- Performs other duties as needed or assigned.
CURRICULUM SUPPORT
- Assist in the preparation of monthly Microsurgery course, including materials, scheduling, etc.
- Coordinate annual application and interview processes for residency program; schedule interviews; manage correspondence with applicants.

- Bachelor of Arts, Bachelor of Science, Bachelor of Fine Arts, and 2 to 3 years of experience or equivalent combination of education and experience is required.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
