The primary role of the Executive Assistant is to provide high level administrative support as the primary point of contact for internal and external constituencies on all matters pertaining to the President’s Cabinet. This position has recurring contact with members of the Board of Directors, senior administrators and executives, public and private officials, the media, students, and parents. The Executive Assistant exercises initiative and independent judgment in managing the President’s Cabinet members’ schedules and the office’s daily activities; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. Use of discretion is required in the dissemination of information to faculty, students, staff and the various publics served by the College and coordinates activities with several major subordinate administrative units of the College. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

DUTIES AND RESPONSIBILITIES:
  • Facilitate the efficient utilization of the President Cabinet’s time through development and coordination of a complex calendar of appointments, meetings, social engagements, and College and community functions with individuals and groups
  • Promote a positive image of the College by greeting and receiving visitors to the C-Suite’s offices, responding to inquiries from diverse College publics (e.g., students, parents, faculty, staff, legislators, alumni, the media, and public and private officials)
  • Provide authoritative information regarding College policies or decisions, referring inquiries or problems to the appropriate office or person, resolving problems, and following up to determine the inquirer's satisfaction with the response
  • Serve as a liaison between the C-Suite and other College administrators, members of the Board of Directors, public and private officials, various boards, faculty, staff, students, and the various publics served by the College by communicating and/or interpreting policy, decisions, and documents issued by the College, gathering information and providing information to the C-Suite, and representing the C-Suite’s Office on select College and civic committees
  • Safeguard the confidentiality of College administration by exercising discretion in communicating information to faculty, students, staff and the various publics served by the College and in handling administrative records, file, and similar confidential items
  • Facilitate the work of the C-Suite by distributing and keeping accurate records
  • Provide information for reports and records through research, data retrieval, compiling and/or tabulating statistics, and organizing and presenting the information in usable and understandable formats
  • Prepare correspondence for distribution or approval and signature, checking the documents for completeness and accuracy
  • Facilitate the success of events hosted by the C-Suite's office by scheduling events with appropriate offices and agencies, advising/contacting participants or invited guests, preparing agendas and programs, arranging for audiovisual and associated support equipment, using independent judgment regarding event alternatives, modifications, or last-minute changes, and coordinating or providing support during the events
  • Schedule and coordinate the C-Suite's travel arrangements, which includes suggesting and requesting priority meetings with constituents, developing itineraries, handling logistics, and assembling travel packets with briefings and other background materials
  • Develop and implement project goals and related tasks for timely completion
  • Manage all aspects of meetings led by the C-Suite, including coordinating the agenda, securing space, and creating support materials; scope encompasses (but not limited to) meetings with the Board of Directors, Senior Staff, Senior Team meetings, and all-staff meetings
  • Manage and ensure appropriate and timely follow-up on internal and external requests for information or action
  • Maintain a “to do” list and meets regularly with C-Suite to manage and determine priority, initiates fact-finding to triage, resolves issues, and provides appropriate referrals for assistance
  • Other duties as assigned
WORK SCHEDULE: 40 hours per week, 52 weeks per year

REPORTS TO: President's Cabinet

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:
  • Bachelor degree in Education, Business, Human Service, or other related fields required
  • At least 5 to 10 years of experience in an office or administrative support position, preferably in supporting C-Level Executives
