The Administrative Assistant is the primary support for the administration of the School of Art and Design and the Performing Arts Division Undergraduate Academic Programs. They will work closely with the Dean, Assistant Dean and collaborate with the campus offices who to provide support for undergraduate students in the arts.

Responsibilities:
  • Collaborate/delegate with and act as back up as needed with members of the administrative team in the School of Art and Design and the Performing Arts Division
  • First point of contact for undergraduate students and maintains student records and general program information
  • Supports the review of program services/requirements, registration process, and provides year-round review of records to help plan for the successful completion of degree programs in SOAD and PAD
  • Supports Assistant Dean with scheduling student appointments, event planning, and answering commonly asked questions from students, faculty, and staff
  • Attend Curriculum Teaching and Assessment and Division Head meetings for purpose of scheduling courses in SOAD and PAD
  • Process/maintain records of student medical and/or personal leave of absence requests as directed by the Assistant Dean
  • Complete payroll authorizations for all non-work-study students in conjunction with supervisors, Human Resources, Payroll, and office of the Dean
  • Oversee student model work schedule and approve bi-weekly timesheets in conjunction with the figure model coordinator
  • Process hiring paperwork for adjuncts each semester and track related expenses in conjunction with the Administrative Assistant to the Dean
  • Collect and maintain course syllabi files each semester from the faculty
  • Provide students of SOAD and PAD administrative support for purchasing processes
Requirements:
  • Formal Education: BS /BA/ BFA preferred
  • Experience: 3-5 years of experience in university/academic administrative office setting
  • Additional Knowledge/Skills:
  • Secretarial skills; strong knowledge of Microsoft Office applications; strong knowledge of Microsoft Outlook functions including forms, One-drive, PowerPoint; knowledge of Banner or similar finance/student management software; strong command of language/communication skills; events planning skills; research skills; enthusiasm for working with a diverse faculty and student body; skill and enthusiasm for working in a fast-paced environment.
