Job Description

The Department of Theatre is looking for an Academic Program Coordinator, Intermediate. This position serves the operational and administrative needs of the Theatre department by supporting their faculty, staff, students, visitors, and external stakeholders. This position also supports the Kitt School of Music as outlined in the job duties. This position will work closely with the departmental leadership, along with the Financial Oversight Analyst, Senior.

Administrative Support - 45%
  • Screen incoming emails, phone calls, and walk-in visitors to appropriate departmental staff/faculty or other university areas to help resolve any issues and provide information to inquiries about shows, auditions, recruitment, scholarships, performances, etc.
  • Contracts: requesting and obtaining for The department of theatre performance rights and scripts, coordinating theatre rentals, guest artists/clinician contracts and other provisions needed.
  • Theatre liaison for school performances and outside rentals; coordinate ticket sales, rental contracts, payments, billing and collections.
  • Assists with Theatre room schedules and theatre schedules.
  • Coordinates blue/gold tours for the Department of Theatre and the Kitt School of Music.
  • Schedule and attend Theatre departmental meetings and prepare minutes.
  • Assign/prepare office space for Theatre faculty.
  • Submit office supply orders and use department purchasing card for approved expenditures.
  • Manage main office supplies; ordering and maintenance including management of supplies for the Chair of Theatre and Director of the Kitt School of Music.
  • Provide support for and help coordinate Department of Theatre faculty searches, including processing applications, scheduling phone/ZOOM/on campus interviews.
  • Serve as the Department of Theatre liaison for the NAU HR and Financial Service Teams.
  • Maintain/update Theatre Department webpages.

Program Management - 20%
  • Coordinate and oversee Department of Theatre scholarship program including:
    • management of contracts, MOUS, application process,
    • coordinating the Audition and interview processes,
    • oversee all communication with applicants,
    • ensure faculty have all resources needed for award decisions,
    • track awards for students with Financial Aid Office,
    • collaborate with NAU Foundation for award distribution.
  • Assist Department of Theatre leadership and Registrar on schedule of classes and assist with the CourseDog system for scheduling classes, assigning faculty, and making changes as needed.
  • Manage Department of Theatre outreach efforts for current and future majors/minors and alumni.

Special Events - 15%
  • Coordinate all aspects of Department of Theatre receptions and retreats.
  • Manage logistical and marketing of special events for the Department of Theatre through creating invitations, organizing Itineraries for visiting speakers/lecturers, securing venues, placing food orders, etc.

Suppervision - 15%
  • Hire, train and supervise student employees for front office coverage in the shared Theatre/Music reception area, and for the Kitt School of Music computer lab.
  • Process onboarding of specialized student labor force who are needed in Department of Theatre production shops/performances.
  • Perform as department timekeeper, overseeing and approving payroll hours for student employees and temporary workers.

Other - 5%
  • Other duties as assigned by the Chair of Theatre.


Minimum Qualifications

  • Bachelor's degree in a relevant field and
  • 2-4 years of relevant administrative/coordinative program experience, or
  • A combination of related education, experience, and training may be used as an equivalent to the above Minimum Requirements.

Background Information

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Salary range begins at $41,421. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. Classified Staff employees are in a probationary status for their first six months at NAU. NAU is a tobacco and smoke-free campus. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
