Position Title: Project Coordinator - Center for Active Living and Learning (CALL)

Position Overview:

Responsible for performing a variety of administrative duties for the Center for Active Living and Learning (CALL). Responsible for day-to-day operations of CALL, a mobile fitness program for older adults in the metropolitan area; coordinates projects assigned; develops office procedures; initiates correspondence, memoranda, promotional material, forms, newsletters, manuals and reports. Oversees the work of student employees to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems. Develops and maintains confidential or complex files. Communicates with potential participants or members of CALL. Develops procedures to enhance program efficiency. Assists leadership in program/event planning; administers budgets; creates reports; coordinates trainings and meetings; approves payroll; and coordinates academic and/or staff personnel matters. Resolve problems that have a significant impact on the overall goals of the center. May have contact with sensitive, complex and confidential information. May be responsible for managing calendars, appointments, and meetings. May also be a lead instructor for weekly fitness classes for older adults in the metropolitan community. This position could require some travel to off campus locations and occasional remote work. 30 Hours per week, 10 AM-4 PM, with flexibility and remote work offered.

Center Specific Essential Job Functions:

Performs effectively and efficiently with minimal, and at certain times, no supervision. Assists Project Directors with implementation of grant. Duties may include, but are not limited to, supervision of student employees, including hiring, training, scheduling, and approving timecards, administrative tasks such as creating reports and maintaining accurate participant data, developing and disseminating marketing materials, and attending and organizing regular meetings and trainings, assisting Project Directors and students with delivery of mobile fitness to the metropolitan community, including working as lead instructor of weekly fitness classes for older adults. Assists with preparation and maintenance of budget and grant contract and submission materials. Orders, maintains, and keeps current inventory of supplies and equipment. Coordinates and organizes administrative tasks and responsibilities as assigned. Communicates with potential mobile fitness sites, including creation and administration of MOUs and collection of payments. Shall at all times maintain professional and cooperative business relationships. Performs other related duties assigned.

Qualifications/Experience Required:

Requires a bachelor's degree or years of equivalent work experience in chosen field that provides knowledge of and exposure to fundamental theories, principles, and concepts. Requires the application of expertise in a chosen field to achieve results.

Qualifications/Experience Preferred:
One to two years' experience in office management, policies and procedures. One to two years' experience in related field. Experience working specifically with the target population.

Knowledge/Skills/Abilities:
  • Supervisory skills
  • Leadership in a group fitness setting
  • Literate in computer usage and word process, including but not limited to Word and Excel
  • Excellent telephone etiquette, communication, interpersonal and public relations skills
  • Ability to maintain an organized work environment
  • Demonstrates a warm and caring professional service-oriented attitude.
  • Ability to multi-task and coordinate and manage employees
  • Ability to train and supervise employees and coordinate and schedule meetings and trainings
  • Must be self-motivated
