VCU’s Office of Medical Philanthropy and Alumni Relations is seeking an organized and collaborative Senior Project Coordinator to provide project management and administrative support to the Assistant Vice President for Medical Philanthropy and Alumni Relations. The Senior Project Coordinator serves as the key liaison to the AVP for all internal and external inquiries, provides day-to-day time and travel management, organizes fundraising and campaign-related materials and guides projects from inception to completion. The Senior Project Coordinator works with project stakeholders, unit leadership and unit support staff to develop requirements, determine scope and communicate project status and timelines. This is an exciting opportunity to join the growing Office of Medical Philanthropy and Alumni Relations as we support VCU’s Office of Development and Alumni Relations (DAR) embark on preparing for VCU’s next comprehensive campaign.

In this role you will :
- Manage multiple projects independently or as part of a team, from inception through implementation;
- Maintain working knowledge of office priorities and deadlines;
- Collaborate and coordinate with internal stakeholders on key projects;
- Prepare the AVP for all meetings well in advance, with agendas and related materials maintained in a project management system and obtaining the necessary preparation materials from the appropriate liaison or from our internal systems;
- Make recommendations for the AVP and bring forward priority issues for resolution;
- Problem solve day-to-day issues ranging from those of a route nature to those of complexity using knowledge of VCU’s organizational structure, policies/procedures, office protocols, strategic priorities, and best practices in a fundraising environment
- Organize development activities and follow-up correspondence and database maintenance;
- Coordinate correspondence with prospective donors and other stakeholders;
- Provide administrative support to the team including scheduling internal and external meetings, event planning and execution, travel arrangements and record keeping;
- Answer inquiries from stakeholders in a professional and timely manner.

Minimum hiring standards :

- Undergraduate degree from an accredited university or or equivalent experience in a fast-paced, complex environment;
- Ability to work both independently and as part of a team;
- Experience solving problems, prioritizing tasks and being self-motivated to execute assignments in a fast-paced environment with tight deadlines;
- Ability to to manage time effectively, prioritize work and handle multiple projects simultaneously;
- High level of customer service;
- Detailed oriented;
- Excellent written and verbal communication skills with experience writing professional communications;
- A commitment to maintain the confidentiality of donor information and strategic project planning;
- Experience with MS Office Suite software including MS Word, Excel and PowerPoint as well as an enthusiasm for learning new software platforms;
- Demonstrated experience working in and fostering a diverse faculty, staff and student environment and commitment to do so as a professional employee at VCU.

Preferred hiring standards :
- Previous experience working in university advancement;
- Experience working with project management software and a desire to learn for use on a daily basis;
- Experience working with constituent record management systems;
- Previous experience managing an executive calendar as proxy and light fiscal duties (budget tracking and managing reimbursements).
