About the Academy

The Academy of Natural Sciences was founded in 1812 for "the encouragement and cultivation of the sciences". Job Summary

The Prospect Management and Analytics Associate identifies, researches, and analyzes information on prospective donors as well as coordinates the Academy’s Moves Management process. The Associate provides research, list management and reporting, support to key leadership and relationship directors to inform development strategies and advance potential donor relationships.

The candidate will qualify, screen, and rate potential donors, and proactively identify new prospective major and principal gift donors. Additionally, as part of a collaborative team, the Associate coordinates with Gift Officers to ensure accurate assignments and data integrity. This position plays a critical and central role in the overall success of the Academy’s growing fundraising program.

Essential Functions
  • Proactively track and disseminate donor and prospect-related information. Monitor news, Drexel alumni updates, and other sources of information, in addition to continually mining data in the existing constituent database, to assist in the identification of new prospects
  • Lead the bi-weekly moves management meetings, including agenda setting, report preparation, and updating of prospect data
  • Manage the ROCs process to ensure visit reports are uploaded in a timely manner and track associated action items from Gift Officer interactions
  • Support the Gift Officers and senior leadership to help develop and refine portfolios, developing critical strategic partnerships to ensure portfolios have the right prospects to maximize fundraising potential and advance prospects through each fundraising stage
  • Establish and manage a process to track cultivation stages, donor ratings, recent donor moves, and proposal tracking, including outstanding, pending, and declined requests
  • Support Gift Officers and senior leaders through the creation of executive briefings and scheduling of preparatory meetings to set donor strategies prior to gift conversations
  • Support processes to identify and recommend prospects for assignment, using various tools to determine assignment, including research, modeling results, data analysis, and review of donors who are upgrading/downgrading their giving and or renewing their membership
  • Create metrics reports both for Gift Officers and for overall tracking of fundraising progress to budgeted goals
  • Coordinate reporting with both the Academy Finance team, senior leaders, and Drexel IA/Finance
  • Perform special assignments upon request such as specialized queries and data analytics projects
  • Engage with and participate in meetings with the Drexel IA team and colleagues to ensure consistency of practice between the Academy and Drexel
  • Other duties as assigned
Required Qualifications
  • Bachelor’s Degree or Equivalent
  • 2-4 years' prospect research and portfolio management experience (non-profit setting preferred)
  • Knowledge of tools such as Research Point, iWave PRO, RELSCI, Nexis for Development Professionals, Foundation Center Directory, WealthX, and Wealth Point
  • Knowledge of database fundraising software Raiser’s Edge or CS Advance required
  • Excellent administrative skills required.

  • Outstanding experience collaborating with colleagues at all levels to reach objectives and leading projects from inception to completion to meet cross functional needs
  • Superior communication (both written and interpersonal), organizational, project management, and analytical skills; able to manage competing priorities and meet deadlines
  • Working knowledge of and compliance with industry best practices, including a strong commitment to donor privacy; exercise discretion and uphold confidentiality
  • Curious, intuitive, and resourceful; exceptional and unfailing attention to detail
  • Adaptable and responsive to feedback in the development and creation of new systems and processes
  • Proven ability to excel working independently and as part of a (virtual/hybrid/in-person) team environment
  • Good sense of humor, adaptable, accountable to deadlines, and strong sense of team spirit
  • Web fundraising experience a plus
