Primary Purpose of Organizational Unit
The Finance team within the Division of Business Affairs supports the University’s mission, strategic vision, goals, and objectives by providing key financial services efficiently and effectively. The Finance team provides financial services directly to students and the campus community.
The Accounts Payable unit within the Controller’s Office is responsible for the timely and accurate payments of university obligations, collection of applicable tax information, set up and maintenance of the vendor file, and support and maintenance of the AP module within Banner Finance (Oracle ERP system). Accounts Payable is also responsible for maintaining the integrity of the Chart of Accounts and general ledger; management reporting of trend analysis and metrics; compliance Federal and State regulations; policies and guidelines; training programs for campus and a high level of customer service.

Brief Summary of Work for this Position
The Vendor Specialist position is primarily responsible for the following:
- Set up and maintenance of the vendor records in the Finance module of Banner (Oracle ERP system) with links to uShop (Jaggaer E-Procurement system) and the Chrome River Travel & Expense module and the Direct Pay module.
- Set up vendor direct deposit information in the Finance module of Banner (Oracle ERP system)
- Review, verify and maintain W-9, W-8BEN, and W-8BEN-E tax documents and direct deposit information submitted by vendors.
- Research and resolve discrepancies related to vendor information.
- State and federal tax compliance.
- Assist Tax Accountant with 1099 tax withholding review and reporting (calendar year-end).
- Assist Controller’s Office with fiscal year-end reporting.
High school diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
Preferred education, professional skills and experience
Additional Minimum requirements
- Strong knowledge of business, financial, technology, and general administrative processes in a business setting
- 2-3 years of Disbursements, Accounts Payable or general ledger experience
- Knowledge and understanding of generally accepted accounting principles
- Excellent organizational and time management skills

- Excellent oral and written communication skills
- Ability to communicate at all organizational levels
- Ability to work in a dynamic environment
- Proficiency in Microsoft Office
- Associate or Bachelor’s degree in Accounting, Business Administration or related field
