Job Description

Texas State University is seeking an experienced director to lead the newly created University Business Ambassador ( UBA ) program. The UBA program is a new unit within the Finance and Support Services ( FSS ) division. The unit is dedicated to improving service levels for our faculty, researchers, and academic units. The unit is charged with reducing administrative workload and processing time for finance, budget, human resource, and other operational business procedures by serving as subject matter experts and liaisons between FSS and other divisions.

Reporting to the Assistant Vice President and Treasurer, the University Business Ambassador program director manages the day-to-day operations for customers and supervises ambassador specialists. This position works with the deans/department heads to facilitate transactions and identify opportunities to increase efficiencies. The position will hire and train UBA specialists to support the program goals: minimize administrative workload, reduce processing time and errors, improve compliance, and deliver excellent service to the university community. This role will coordinate training with the FSS subject matter experts, have knowledge of ERP systems and will actively collaborate with the FSS process owners/subject matter experts to eliminate bottlenecks, complete transactions, and streamline processing.

This is an exciting opportunity to use your experience leading teams and to provide excellent customer-focused service delivery while maintaining operational excellence and achieving critical deliverables. Foster and align services and develop a long-term strategy and roadmap that supports departmental and organizational goals. Manage and work closely with team members and customers to provide high quality service, anticipate needs, streamline/automate processes and use metrics to assess the performance and value added of the new initiative. Provide mentorship, unified direction, provide performance feedback and foster an inclusive work environment. Implement plans to grow the UBA program to support more areas of the University.

Job Duties
  • Oversee the development and maintenance of the University Business Ambassador program
  • Meet with prospective academic units (partners) to promote the UBA organizational mission and service benefits.
  • Review business unit operations to complete a needs assessment
  • Create project plans, memorandums of understanding to incorporate the customer needs
  • Create a strong culture of teamwork to ensure the quality of daily operations and inter-department collaboration
  • Manage day-to-day operations to ensure timely and accurate processing
  • Work collaboratively with financial departments to ensure operations are effectively addressing related customer needs
  • Develop onboarding training program for the multiple financial systems and assist in the direct report training to ensure their success
  • Assess direct reports and provide feedback to ensure excellent customer service
  • Manage escalations from staff effectively and efficiently
  • Perform other duties as assigned
