Summary

VCU's Facilities Management Department is seeking to hire an Executive Administrative Assistant in Facilities Operations.

The Executive Administrative Assistant provides professional level administrative assistance on all matters relating to Facilities Administration as well as all zones and shops within Facilities Operations. The incumbent of this position advocates and projects a high level of professionalism and customer service to internal and external customers of Facilities Operations; serves as a liaison between the Executive Director of Facilities Operations and other department directors, as well as executive officers, faculty, staff, students, and groups on matters of public perception and consequences; responsible for fostering communication at the appropriate levels to ensure universal understanding of tasks and challenges; and is responsible to providing uniforms and cell phones for the unit and to register staff for training and for updating licenses.

The Executive Administrative Assistant also provides administrative support when the Director of Staff Operations for Facilities Management is out-of-the-office.

Minimum Hiring Standards
  • Skilled in the use of Microsoft Word, Excel, PowerPoint, financial management scheduling and email software
  • Excellent written communication skills and superior organizational skills with special emphasis on customer service
  • Ability to prioritize and manage a variety of projects and to work independently; at times under pressure, and demonstrate strong initiative; must also be collaborative on occasion or as task dictates
  • Experience in researching and preparing reports
  • Ability to use logic and problem solving techniques in investigation of issues as well as recommended solutions
  • Ability to project a positive attitude, possesses attention to detail, anticipates needs, and has a commitment to doing the job right the first time
  • Possesses a customer care focus
  • Ability to be flexible towards changes and has a dedication to continuous organizational improvement
  • High school diploma or equivalent
  • State of Virginia Driver's License with a good driving record is required
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU
Preferred Hiring Standards
  • Knowledge and experience in Human Resource Management practices highly desired
