Description

The purpose of this job is to assist in the day-to-day operations of the Financial Aid Office. Responsibilities include but are not limited to answering the telephone, interacting with students and families, overseeing student workers, processing the daily mail, maintaining inventory and supplies, tracking required documents in institutional databases, and other special projects or duties as assigned. This position reports to the Associate Director of Financial Aid and must have demonstrated ability to work independently and harmoniously in a team environment.

Examples of Duties

DUTIES AND RESPONSIBILITIES include the following:

This position requires a person that can work in a fast paced environment that requires multi-tasking skills and organization.

• Provides consistent presence as front desk reception. Provides general financial aid information via email, phone, and personal contact.

• Sorts and processes mail on a daily basis.

• Manages the communication module in the financial aid database, PowerFAIDS, for tracking of aid, communications and documents.

• Maintain compliance with established records management protocol for active and inactive student files. Coordinate off-site services for record retention.

• Inform students and parents regarding financial aid programs and procedures and assist with the Free Application for Federal Student Aid (FAFSA) application process. Coordinate, schedule, and co-manage all student employees.

• Reconcile outside scholarships and tuition assistance with the Student Accounts Office.

• Maintain and update policy and procedures manual for the office.

• Manage RFP process for office expenses.

• Responsible for ordering supplies and print publications, updating forms, coordination of mailings, and making staff travel accommodations.

• Point of contact for outside scholarship postings.

• Perform other duties as assigned which support the purpose and initiatives of the Financial Aid Office and the University

Typical Qualifications

EDUCATION and/or EXPERIENCE:
  • Bachelor's degree preferred with a preference of experience in financial aid or a comparable combination of experience from other professional positions.
  • Dedication to student service and success
  • Demonstrated ability to work well with students, parents, faculty, and staff
  • Willingness and ability to perform occasional evening and weekend work during peak enrollment periods or as needed based on volume of student transactions.

COMPETENCIES:
  • Ability to interact with students and parents calmly and graciously, often under difficult personal situations with sensitive financial information, and be capable of explaining University and Federal policies to students and parents.
  • Experience with CAMS student information system, PowerFAIDS financial aid software, or comparable databases.
  • Strong working knowledge of Microsoft Office suite

PREFERRED QUALIFICATIONS:
  • Familiarity with universities offering both undergraduate and graduate level programs
  • Experience in financial aid in a college or university setting
  • Familiarity with the role of regulations in delivery of services and financial support
