Job Summary

The Accounts Payable Specialist reports to the Senior Endowment Accountant and ensures proper compliance with Tower Foundation and university policies and procedures. The incumbent is responsible for ensuring timely and accurate processing of payments, understands and complies with policies, practices, and procedures, check run process, including preparing positive file for the bank, ACH file for electronic payments, and wires for payments in accordance with department rotational cycle. Assist with month-end reconciliation process to ensure proper accrual and accurate payable balance. Assist with system setup, upgrades, modification, and implementation of any related software or system integration. Assists with audits and other responsibilities as assigned.

Key Responsibilities
  • Comprehensive and thorough review, audit and processing of accounts payable invoices and check requests in accordance with the established guidelines of the Tower Foundation, SJSU and CSU policies.
  • Ensure timely processing of all university payments, including but not limited to: reviews invoices, travel claims and check requests for proper account codes, authorized signer, account balances, appropriate receipts and documentation.
  • Assist Senior Endowment Accountant in improving forms, processes, and procedures to streamline the payment
  • Maintain good vendor relations, correspond, or communicate with vendors when necessary to correct or modify invoices received
  • Effectively explains to customers the origin of the reasoning behind key policies, practices and procedures
  • Reviews purchase order requests for proper account codes, authorized signer, account balances, and appropriate documentation.
  • Prepares and submits purchase orders
  • Appropriately inform management of any concerns and unresolved issues
  • Responsible for the check run process, including preparing positive file for the bank and ACH file for electronic payments
  • Reviews scholarship requests and confirms enrollment and other relevant details with the Financial Aid Office.
  • Maintains the vendor records
  • Obtains W-9 form as necessary
  • Responds to questions and makes calls regarding billing problems

  • Exercises tact and diplomacy in creating and maintaining good working relationships
  • Knowledge and comprehension of general accounts payable and purchasing practice
  • Ability to prioritize workload, meet deadlines, and work effectively under pressure with a high accuracy rate
  • Ability to multi-task and balance changing priorities
  • Ability to understand and utilize complex procurement information systems
  • Excellent communication, both written and oral, and proven ability to exercise good working relations with a wide variety of people
  • Ability to readily problem solve by listening and knowing what questions need answering before making a final informed determination
  • Proficiency in Internet usage and in Excel
Required Qualifications
  • Any equivalent combination of education and experience which provides the required knowledge and abilities
  • Equivalent to three years of progressively responsible financial record-keeping experience which has provided the above knowledge and abilities
Preferred Qualifications
  • A bachelor’s degree in Accounting, Finance or related discipline. Experience may be substituted for education
  • Minimum of three years of high-volume full cycle Accounts Payable experience
  • Experience in a centralized accounts payable function in a large organization
  • Excellent customer service and experience working with sensitive issues and challenging customers
  • Experience in the higher education industry
  • Experience with Microsoft Excel
  • Experience with Financial Edge


Compensation

Classification: Accounting Technician II
Anticipated Hiring Range: $3,873/month - $4,044/month
CSU Salary Range: $3,512/month - $5,830/month
