Overview

The Department of Chemical and Biological Engineering is hiring a faculty assistant. The faculty assistant is responsible for providing academic, administrative and research support for Chemical and Biological Engineering faculty members and their respective research groups.

In addition, the faculty assistant will be assigned various departmental support duties, including administrative support for event planning and data entry for our graduate program.



Responsibilities

Faculty Related Lab/Academic Support


• Provide general administrative support duties for assigned faculty and their research groups
• Make faculty and guest travel arrangements
• Scheduling assistance, which includes managing calendars, appointment requests and meeting space reservations
• Prepare and ship correspondence and laboratory materials for research groups
• Course support: Assist with preparation and maintenance of Canvas sites, including uploading course related materials, sending emails to students and ordering books
• Conduct electronic searches using libraries on campus to search for, request and download journal articles, publications and books
• Prepare and send correspondence (ex. letters of recommendations) on behalf of faculty
• Assist faculty with research proposals, submission of papers for conferences and working with outside companies

Department & Graduate Program Support


• Plan and schedule multi-day conferences, receptions, seminars, meetings and other departmental events
- Assist with the planning and execution of the graduate program events and recruiting weekends
- Assist with data entry for the graduate student database and website updates
• Administrative support for the department lab safety committee
• Provide backup assistance to other support staff in the department
• Other departmental administrative duties such as mail distribution, etc.
• Other special projects as assigned by the Senior Manager of Finance and Administration

Financial Support


• Purchasing and receiving of lab and office supplies
• Process reimbursement requests
• Maintain and reconcile monthly travel and expense credit cards



Qualifications

Essential Qualifications

• 3+ years of related work experience

• Demonstrate successful organizational and interpersonal skills; including written and verbal communications with faculty, students, researchers and staff at all levels
• Possess a service-oriented and proactive approach with great attention to detail
• Demonstrated ability to multi-task, prioritize and work independently in a fast-paced environment
• Demonstrated ability to exercise independent judgement and make decisions based on established policies and procedures
• Willing to work independently and as part of a team
• Proficiency in Microsoft applications, including Outlook, Word and Excel

Preferred Qualifications

• Experience working with faculty in a higher education environment
• Experience with PeopleSoft, Concur, Access and Canvas software applications a plus, but not required
