Job Summary:
Under the supervision of the Associate Director of Finance and Administration, the Assignments Coordinator has carries-out the responsibilities for the management of housing assignment policies and procedures.

Job Description:

Job Duties:

Coordinates room assignments procedures for all students including:

Maintains up-to-date records on all room changes and available spaces.

Coordinates the new student assignment and roommate matching process.

Assists with the assignment process for returning students for the fall and spring semesters and May Experience.

Assist with the summer and interim housing assignments.

Enters all student room assignments and all commuting and off-campus students into the campus administration ERP system (i.e. Workday) and maintains accurate records on a continual basis.

Directs and manages the early arrival process for students. Maintains accurate floor plans for all residential facilities, and updates those plans when appropriate. Trains, provides work direction, and problem solving assistance for student workers plus reviews work of less-experienced staff. Assists other staff on assignments-related responsibilities as seasonal work-loads require.

Coordinates the accommodation process for all requests received to provide an accommodating housing assignment.

Coordinates special accommodation requests with the Student Office for Accessibility Resources, Health Services, and the Counseling Center and finds appropriate housing to meet the needs of students approved for special housing accommodations.

Provides information and excellent customer service, as appropriate, for parents and family communications.

Maintains knowledge of projects and workflows through office and provides additional support when needed.

Provides requested information to investigators who are performing background checks on Furman alumni.

Works with Census Bureau representative to administer surveys per academic year to random students.

Tracks processes and procedures within the department and suggests improvements.

Provides excellent customer service while interacting with students, parents and others who visit the Housing and Residence Life office.

Lives in an unfurnished two-bedroom apartment at The Vinings.

Serves in Level 1 On-Call Crisis Management Rotation.

Follows safety procedures.

Complete performance review process with supervisor to understand job performance expectations and how they fit into the department and University goals.

Perform other duties as assigned in support of the goals and objections of the Division of Student Life. Relationships:

Daily contact with members of own work unit and immediate supervisor, students, and student workers to plan, coordinate, solve problems or present information related to mutual goals.

Responsibility for Final Decisions:

Reviews work to ensure compliance with procedures and deadlines.

Responsible for own work. May assist or instruct others doing similar work; including student workers.

Decisions require the consistent theme of fairness and the application of relativity in decision-making.

Tasks involve multiple procedures with interrelated processes and steps. Work involves choosing the appropriate option or procedure to follow and applying the established rules and procedures.

Errors are readily detected within the department or section in which they occur, but may affect the work of others within the unit to trace errors and make corrections.

Reports To: Associate Director of Finance and Administration

Work is performed independently except where the interpretation of law, policy, rule, complex procedure or request for exception is required.

Minimum Qualifications:

Bachelor's degree in education or a related field, plus related experience.

Understanding of student learning and development theory.

Ability to apply discretion and relativity in decision-making.

Ability to create, coordinate, and assess educational programs for university students.

Ability to solve problems.

General knowledge of office management techniques.

Proficiency in Word, Data Systems, management, other software packages.

Excellent communication and interpersonal skills, with the ability to effectively communicate with a variety of diverse constituents both orally and in writing.

Knowledge of superior customer service standards and practices.

Ability to interpret policy and procedures established within the Department of Housing and Residence Life.

Ability to organize workflow and coordinate projects within the office.

Ability to work on multiple projects at the same time, both independently and collaboratively.

Availability to work after hours and/or weekends and on-call, as specified by supervisor.

Preferred Qualifications:

Master's degree preferred.

Familiarity with higher education administrative business processes strongly preferred.

Knowledge of housing management system and reporting system software preferred.

Work Conditions:

Work is performed under usual office conditions. Occasional evenings and weekends required.
