Job Description

The Pierre Laclede Honors College seeks an enthusiastic, highly organized and detail-oriented Senior Business Support Specialist to perform a broad range of activities supporting the operations of the college and directly assisting its students, faculty and staff. This individual will be the primary administrative support for the college and will supervise the graduate assistant and undergraduate students assigned to our main office. Candidates should be comfortable working on multiple tasks in a fast-paced, student-oriented environment. This position will often be the first point of contact with the Honors College, and reflecting the values of the college as an inclusive and supportive community of students, faculty, and staff will be essential

Characteristic duties:

Fiscal, personnel:
  • Plan and enter budget for upcoming fiscal year; maintain expense spreadsheets to track expenditures
  • Assist administrators, faculty, and staff with financial processes such as One Card and Travel reconciliation, expense reimbursements, and transfer pay between units
  • Maintain supply records and procure departmental supplies, including recurring purchases and one-time orders (including desk copies of textbooks)
  • Coordinate with HR and/or other business support offices on hiring paperwork, ePAFs, salary increase paperwork, confirmation letters, employee onboarding and other processes and materials required for hiring and salaries
  • Monitor time sheets, compensatory time, payable time, internal work logs and other processes and materials necessary for bi-weekly payments
  • Monitor payroll information for errors in monthly and bi-weekly faculty, administrators, and staff
Supervisory:
  • Supervise student employees in the office and computer lab; recruit and train student workers and prepare schedules
  • Supervise graduate assistant
Advising, registration, admissions
  • Registration/advising assistance for faculty and staff advisors, including enrollments, withdrawals, schedule changes, registering students for classes, recording advising notes in MyConnect
  • Correspond with students about holds, missing pre-requisites and other issues related to registration
  • Participate in Grade Review and send warning letters
  • Assist College recruiter with admissions tasks as needed
Support for faculty and administration
  • Coordinate textbook ordering
  • Provide assistance with classes, offices, and other needs
  • Maintain Dean’s calendar; schedule meetings with faculty, staff, university constituents and community leaders
  • Prepare course descriptions and maintain data for courses and enrollments; assist the associate dean with entering the semester schedule
  • Coordinate the administration of course evaluations
  • Prepare correspondence for dean and associate dean
  • Prepare and maintain minutes at college meetings
  • Assist with My Vita for faculty promotion
Records management
  • Collect syllabi
  • Maintain various student records; maintain writing program portfolios
  • Maintain college data, electronic or otherwise; work with dean to develop new data management structures
  • Maintain Student Groups in My View
Website and communications:
  • Supervise and maintain college webpage and handbook
  • Maintain College Canvas sites for various groups
  • Maintain directory listings
General:
  • Coordinate reception for Provincial House
  • Provide general assistance and support to students, faculty, staff, administrators, and guests
  • Maintain college calendar and coordinate with campus calendars
  • Assign offices to part-time instructors and maintain office functionality (phone, computer, supplies, etc.)
  • Coordinate common building space usage and upkeep (kitchen, Common Room, libraries, main hallways, computer lab, storage rooms)
  • Submit college maintenance requests; submit all college IT requests
  • Provide oversight for faxes, deliveries, mail distribution, copy/scan requests, parking pass distribution, keys and swipe card access, college media library
Event planning
  • Coordinate and/or assist with planning for events such as Honors Orientation, Graduation Parties, and Opportunity Scholarship Program Interview Day
  • Place catering requests; coordinate room reservations and other space requests
  • Oversee development of event flyers on CanvaPro; create sign-ups for events
Other duties as assigned by the dean or associate dean.

Supervision:
The position is supervised by the Associate Dean of the Honors College

40 hours per week

Salary

Pay commensurate with education and experience.
Hiring Range: $17.43 - $21.21 per hour
Grade: GGS-008
University Title: Business Support Specialist (Senior)

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Proficient in Microsoft Office (Excel), Adobe, Teams, and Zoom
Experience with budget reporting and payroll systems
Excellent oral and written communication skills
Goal oriented and ability to manage multiple tasks simultaneously
Exceptional attention to detail and problem-solving skill
Work experience in higher education
Experience with honors college or program
