Job Summary

Reporting to the Director of Administration, the Student Programs Administrator (SPA) works with Statistics Directors of Undergraduate Studies (DUS), the Director of Masters Study, and the Senior Graduate Program Administrator as a departmental expert on program requirements for undergraduate and AB/AM students, and on College policies, to provide administrative support to the Statistics Department.

Basic Qualifications

Five years administrative experience, with a minimum of three years in an academic setting working with students.

Additional Qualifications and Skills

BA/BS is strongly preferred, as is experienced with student services. Graduate-level coursework/experience is helpful. Harvard experience with academic processes and systems, especially in a student services role, is a plus. The Student Program Administrator must have demonstrated the ability to work effectively with diverse student and faculty populations. Excellent organizational and communication skills with a particular ability to prioritize work in an environment with multiple and conflicting interests are essential.

Position Description

In support of Undergraduate Concentrators and Secondary Field Students, maintains student records and monitors academic progress (e.g., advisors, course credits, and the satisfaction of program requirements) to ensure that requirements are fulfilled on a continuous basis, as well as at set times - at the beginning of each term, and in May for seniors to ensure successful graduation.

Supports approximately 200 undergraduate concentrators and AB/AM students about enrollment issues including concentration requirements, course credit updates, Crimson Cart (course selection) questions and signing, manages submission and reading of senior theses and communicates program information and deadlines.

Coordinates with UG program administrators for joint concentrators/secondary fielders, if necessary. Manages all logistical aspects of academic and social student events including undergraduate open houses, advising events, and Commencement reception. Facilitates advising office hours for concentration advisors. Updates requirements/degree audit (Academic Advising reports) in My.harvard.edu. Facilitates job talks and community events/ presentations and undergraduate requirements updates. Compiles course evaluations for faculty reviews and information for the Visiting Committee. Organizes the Undergraduate Advising Open House Event in Fall and Spring. Updates and orders handouts for various undergraduate concentration advising events throughout the year.

Attends Monthly Undergraduate Studies Discussions with Faculty (Concentration Advisers and Directors of Undergraduate Study). Engages with the Directors of Undergraduate Study, the Chair and the Undergraduate Curriculum Committee to administer, enrich and develop the programs (on a continual basis, depending on topic and scope.) E.g. advising the DUS how to improve processes or policies and staying up to date on student progress, College policies, etc.

Coordinates the Undergraduate Senior Thesis Process, sending out theses to readers, collects grades, coordinates with administrators in joint departments, and prepares information for UG Honors Recommendation meeting in April/May. Gathers and communicates potential senior thesis topics from faculty in the department. Submits honors and degree recommendations for AB and Secondary Field in my.harvard (November, March and May degrees).

Facilitation of Bachelor of Art/ Master of Art (AB/AM) Program. Reviews student records to ensure that requirements are fulfilled. Coordinates application and admissions process to AB/AM program with the Director of Masters Study. Answers inquiries from prospective AB/AM students, and/or identify appropriate resources to address inquiries. Maintains the Undergraduate Concentrator Listserv, emails Concentrators about Advising Office Hours for Concentration Advisers, sends concentrators relevant information over Concentrator Listserv, and assists the Director of Masters Study in distributing senior survey in May.

Maintains and updates information about the undergraduate program content on the departmental website (e.g. FAQ): https://statistics.fas.harvard.edu/undergraduate , and responds to/completes departmental surveys related to education metrics (e.g., American Mathematical Society Degrees Awarded, American Statistical Association surveys). Maintains departmental information in publications including Harvard College Fields of Concentration Handbook. Coordinates communication and events with the list of "Interested first-year" students. Gathers and distributes information in a monthly newsletter (including upcoming events, awards, etc) to the students/concentrators. Distributes "summer plans" survey with the assigned faculty member. Coordinates the "Independent Study" (Stat 91r) applications with the assigned faculty member and Course Assistant (CA) applications with interested faculty. Other duties as assigned.

Working Conditions

The position is located on the Cambridge, MA campus. The successful candidate will have the opportunity to work a hybrid schedule with some days on campus and some days off campus if desired. Details will be discussed with those invited to interview. The successful candidate must live and work in a Harvard-registered state (MA, NH, ME, CT, RI, VT, MD, and NY) with the ability to travel to campus weekly.
