The Administrative Assistant position is a full-time, 37.5 hours/week position to provide administrative, budgetary, and clerical support to the Brueggeman Center for Dialogue and Government Relations, which collaboratively advance interfaith, sustainability, social justice, community relations, and government affairs activities. The responsibilities of this position focus on collaboration with constituents internal and external to Xavier University.

The ideal candidate has strong oral and written communication skills, is detail-oriented, is proficient with Microsoft Office software, can work effectively with diverse populations, and is willing to learn new software and other technical systems, as needed.

Responsibilities include:
  • Coordinating logistics for events and programs, including making speaker arrangements, overseeing catering needs, managing registrations, setting and cleaning up spaces.
  • Managing communication, including monitoring and sending email, updating websites, creating flyers, and assisting with surveys.
  • Assisting with monitoring and managing budgets (such as managing purchasing, reimbursement, and purchase card reconciliation).
  • Coordinating the Brueggeman Fellows Program, including arranging international travel.
  • Managing the stock of supplies, scheduling conference space in the building, and overseeing proper maintenance of the building.
Minimum Qualifications:
  • High school diploma with two years administrative experience.
  • Intermediate level experience with Microsoft Office suite.
  • Excellent written and communication skills.
  • Strong organizational and problem-solving skills.
  • Ability to work independently on multiple projects.
  • Familiarity with financial book-keeping.
Preferred Qualifications, in addition to all of the above:
  • Three years or more administrative experience
  • Experience in higher education.
  • Experience interacting with diverse communities (e.g., religious, racial, ethnic, income levels)
  • Experience with event planning.
