Position Summary: The Coordinator of International Education advises students on study abroad. This position coordinates JCCC-sponsored international special events and programs, the visits of international scholars and visitors, and faculty-led study-abroad trips, collaborates on individual study abroad programming and international grants programs. The coordinator assists the Director of International Education in furthering the goals of internationalizing the campus and the curriculum and supporting the JCCC value of diversity of thought.

Required Qualifications:
  • Bachelor's degree
  • Must have excellent oral and written communication skills and excellent organizational skills
  • Must be able to use a variety of computer programs including word processing and spreadsheets
  • International study or travel experience
  • Ability to work a flexible schedule including evenings and weekends

Preferred Qualifications:
  • Master's Degree
  • One to two years of post-secondary experience

Position Details - Job duties include but are not limited to:

COORDINATE SPECIAL EVENTS (e.g., conferences, workshops, festivals): Coordinate logistics. Liaison with the budget administrator, the business office, and accounts payable to arrange for the collection of registration fees and the payment of invoices. Collaborate with other offices on campus (e.g., housekeeping, scheduling, publications, publicity, and police) as needed. Liaison with outside vendors as appropriate. Provide on-site assistance during events weekdays, evenings and weekends. Coordinate planning and attend weekend Intercultural Retreats in the fall and spring semesters. Performance is acceptable when:

a. Logistics are well-planned.

b. Collaboration is facilitated.

c. Appropriate assistance is provided during event.

ADVISE STUDENTS ON STUDY ABROAD OPPORTUNITIES: Assist students in selecting an appropriate study abroad program, consistent with academic requirements, objectives and plan of study. Guide students through application, acceptance, orientation and evaluation processes. Support and communicate with students currently studying abroad, which includes some evening and weekend messaging. Assist with student billing for study abroad programs. Assist in conducting orientations during week days and in evenings. Communicate with study abroad students as necessary on weekends and evenings. Assist with weekend departures for study abroad programs as necessary. Performance is acceptable when:

a. Students are well informed of their study abroad options and program requirements.

b. Pre-departure orientations are conducted according to guidelines and well attended.

c. Communication is maintained with students throughout their study abroad process.

COORDINATE STUDY ABROAD PROGRAMS: Develop and maintain good working relationships with all study abroad partner schools. Collect all application documents and forward to partner schools for enrollment in study abroad programs. Work with Financial Aid staff as needed to facilitate appropriate financial disbursement to students who study abroad. Coordinate and conduct pre-departure orientations prior to summer/fall and spring semester study abroad periods. Transcripts for each student are received from the abroad school and recorded on JCCC transcript. Liaison with the business office to collect student fees. Performance is acceptable when:

a. Study abroad application and fee payment process is completed in timely fashion.

b. Representatives from partner schools receive appropriate documents and payments in timely fashion.

c. Students are informed of status throughout application process and report positive experience abroad.

d. Student transcripts are received and recorded in timely fashion.

PROMOTE AND MARKET STUDY ABROAD TO JCCC STUDENTS: Contact JCCC professors each semester to request class time for short presentations on study abroad. Collaborate with Publications and Document Services departments to create and maintain effective marketing materials. Promote study abroad scholarships to students to help increase number of students studying abroad. Coordinate with Financial Aid each semester to promote Gilman Scholarship to Pell Grant recipients. Present study abroad information to students in classes weekdays and evenings. Performance is acceptable when:

a. Study abroad presentations are given in variety of classrooms each semester.

b. Marketing materials are current, accurate and readily available to students.

c. Promotion of scholarships is timely and effective, resulting in JCCC students receiving scholarship funding.

COORDINATE THE VISITS OF INTERNATIONAL SCHOLARS AND VISITORS: Issue letters of invitation and other paperwork necessary for obtaining visas. Coordinate itineraries and logistics (e.g., insurance, transportation, JCCC-required paperwork, and housing). Provide assistance in adjusting to life in the U.S. (e.g., bank accounts, cultural questions). Meet visitors as necessary at airport weekdays, evenings, and weekends. Performance is acceptable when:

a. Visitor's entry to the country is smooth.

b. All necessary paperwork is completed.

ASSIST IN COORDINATING INTERNATIONAL GRANTS: Support the International Education Committee. Assist faculty who obtain grants (e.g., visas, JCCC travel paperwork and policies). Performance is acceptable when:

a. All paperwork is satisfactorily completed.

b. Faculty are appropriately supported.

COORDINATE BUSINESS OPERATIONS FOR INTERNATIONAL EDUCATION: Assist in completing budget paper word, travel paper work, and scheduling. Performance is acceptable when:

a. All paperwork is satisfactorily completed.

b. Faculty are appropriately supported.

SERVE AS CO-COORDINATOR OF INTERNATIONAL CLUB: Communicate with and guide leadership team, especially the president, on how to manage effective meetings. Make arrangements for club events throughout the year according to JCCC Student Activities guidelines and procedures. Serve as responsible staff member for all club events evenings and weekends. Serve as primary resource for student contacts when department needs volunteers or specific assistance with projects/programs. Serve as mentor to students who ask for assistance, guiding them to other campus departments when appropriate. Collaborate with Publications department to create club brochures for each semester. Performance is acceptable when:

a. International Club events are conducted according to JCCC Clubs and Organizations Handbook guidelines.

b. International Club meetings are conducted in reasonable fashion, with involvement and leadership from active student participation.

c. International Club remains an active and inclusive group on campus, inviting for students from any country and culture.

OTHER DUTIES: Assist with visits from the Model UN team from NPU. Serve as department liaison on JCCC public safety committee. Assist with other duties as assigned. Performance is acceptable when: a. JCCC international partnerships have been enriched through successful and satisfying visits from international guests. b. International Education department goals have been advanced through successful completion of planned activities.
