Summary
The Rice University Office of Innovation is seeking an experienced Executive Administrator to provide advanced, diversified administrative support of a substantial and confidential nature to the Vice President for Innovation. The Executive Administrator will lead, direct, and provide strategic management to the business and financial operations of the Office of Innovation. They will provide administrative support as required and anticipate executive's needs and proactively solve problems and / or independently handle issues. The Executive Administrator’s work is performed autonomously, without specific instructions or prescribed procedures, and with delegated authority to exercise discretion and judgment regarding matters of significance on behalf of the executive.
The ideal candidate for this position will have extensive background in university administration, executive leadership at a departmental or divisional level, and/or in the management of large multi-disciplinary, multi-institutional programs.
Required Qualifications
- Bachelor’s Degree
- In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted
- 10 years’ experience (or more) in general business, human resources or accounting
- Manages and directs the development, implementation, administration, and evaluation of operations, including, but not limited to research administration, budget / finance, program administration, human resources, communications / outreach, and compliance
- Serves a primary role in the development & implementation of the annual budgets and budgeting process for the Office of Innovation
- Acts as the subject matter expert for the department regarding the interpretation, implementation and compliance with policies and regulations.
- Represents the department at the university level and / or to external constituencies and partners
- Recommends actions and / or resolves complex issues that span organizational boundaries.
- Monitors trends and establishes goals in line with Rice’s broader vision, goals, and targets for the facilitation of the Office of Innovation
- Manages and / or oversees the human resource functions; administering where needed the visa process for international, staff and students
- Performs all other duties as assigned
- Expert knowledge of Microsoft Office Suite and database software programs to either complete work assignments or direct the completion of work assignments
- Excellent data reporting skills
- Excellent presentation, verbal, visual and written communication skills
- Experience with online proposal submission processes
- Excellent critical thinking, decision making, and problem-solving skills
- Excellent leadership, resource management, and project management skills
- Demonstrated ability to be creative, delegate, influence, and motivate to gain consensus
- Ability to work autonomously or supervise others ensuring the timely completion of work
